Position Overview

The Staffing Specialist is responsible for creating, managing, and updating comprehensive staffing schedules for the nursing department. This role requires adaptability to budgetary limitations, changes in patient census, attendance monitoring, and managing leave requests. We are looking for an individual who is meticulous, exceptionally organized, and possesses strong prioritization skills. This is a full-time, on-site position with a standard schedule.

Key Responsibilities

The daily responsibilities of the Staffing Specialist include, but are not limited to:

  • Thoroughly understanding and utilizing the master staffing schedule.
  • Maintaining consistent communication with the Director of Nursing (DON) and Assistant Director of Nursing (ADON) to ensure effective staffing coordination.
  • Preparing daily staffing reports with ongoing updates as necessary.
  • Adhering to company policies regarding staffing and budgetary guidelines.
  • Providing a weekly update of vacant nursing positions to the DON.
  • Managing staff time-off requests in accordance with established protocols and under the guidance of the DON/ADON.
  • Ensuring cross-training of at least one other staff member for the scheduling role to cover absences.
  • Reviewing daily exception logs for payroll and assisting with payroll preparation for nursing and administrative departments.
  • Maintaining positive relationships with agency contacts through regular communication.
  • Ensuring that new staff orientation schedules are included in daily staffing reports.
  • Creating and maintaining necessary documentation for scheduling tasks.
  • Upholding the confidentiality and dignity of all staff and residents.
  • Exhibiting professionalism and the ability to thrive in a fast-paced environment.
  • Arriving to work punctually and adhering to the scheduled hours.
  • Complying with the facility's dress code, including wearing identification at all times.
  • Following policies regarding the use of electronic devices and other technology.

  • Complying with the business code of conduct, compliance regulations, and privacy policies.
  • Performing additional duties as assigned by supervisors or management.
Qualifications

To be considered for the Staffing Specialist position, candidates should possess:

  • A high school diploma or GED equivalent.
  • A minimum of one year of relevant experience in a fast-paced environment, preferably in staffing or scheduling.
  • Proficiency in Microsoft Excel.
  • Previous experience as a Certified Nursing Assistant (CNA) or Medication Technician (Med Tech) is strongly preferred.
  • Familiarity with Kronos software is a plus.
  • Effective communication skills in English, both written and verbal, at an intermediate level or higher.
