Job Title: Director of First Impressions - Medical Spa

Position Overview:

We are seeking a proactive and organized individual to join our team as a Medical Spa Receptionist. As the first point of contact for our clients, the Director of First Impressions plays a crucial role in ensuring exceptional customer service and efficient office operations. This role requires strong communication skills, helping clients feel exceptional, attention to detail, and the ability to multitask effectively.

Responsibilities:

  • Greet and welcome clients in a friendly and professional manner.
  • Answer phone calls and emails promptly, providing accurate information and addressing inquiries or concerns.
  • Schedule appointments for clients using our electronic scheduling system, ensuring optimal utilization of time and resources.
  • Manage the reception area, including maintaining cleanliness and organization of the overall clinic.
  • Coordinate with medical staff to ensure seamless patient flow.
  • Process payments and manage financial transactions accurately.
  • Order and maintain inventory of office supplies, ensuring adequate stock levels.
  • Assist with administrative tasks as needed, such as data entry and filing.
  • Ensure client records are secure, complete, up-to-date and accessible.
  • Manage/respond to daily interactions on social media platforms
  • Support Client Advocate in sales supporting activities

Qualifications:

  • Previous experience in a customer service or receptionist role preferred.
  • Demonstrates an ongoing passion for elevating the client experiences under all circumstances.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in using computer applications, including MS Office and electronic scheduling systems.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to maintain confidentiality and professionalism at all times.
  • Knowledge of medical terminology and experience in a healthcare setting is a plus.

Working Conditions:

Full-time position, ~35 hours per week.

Work hours may vary and could include evenings or weekends based on business needs (although this is expected to be rare)

Clinic is open Tue-Fri 9a-5p, Sat 9a-12p

Compensation:

Hourly pay rate: $16-20 per hour, based on experience.

We are a leading Medical Spa specializing in cutting-edge hair restoration therapies as well as regenerative practices to help clients achieve their highest potential. Our clinic is based in Jupiter, FL serving Palm Beach, Martin, St Lucie, Indian River and Brevard counties.
