Procurement Specialist

Position Overview:

The individual in this role is tasked with acquiring goods and services, encompassing warehouse inventory, direct receiving items, and special project acquisitions. This position requires exercising purchasing responsibilities and judgment to ensure optimal value, taking into account quantity, quality, and service.

Key Responsibilities:

1. Evaluate requisitions, engage with suppliers, and procure goods based on pre-established pricing, quantity, and quality, ensuring timely acquisition to fulfill the requirements of various departments.

2. Collaborate and communicate with user departments to comprehend their needs, proactively addressing and resolving issues to guarantee satisfaction and that procurement services align with organizational objectives.

3. Analyze bids for significant purchases to secure the most favorable terms regarding price, quantity, quality, service levels, and delivery timelines.

4. Conduct research and maintain communication with current and prospective suppliers to foster relationships and establish the most beneficial pricing and service agreements.

5. Monitor inventory levels (including office supplies and select food items) and place orders to maintain optimal inventory levels that meet user requirements.

6. Coordinate with suppliers to resolve discrepancies, manage returns, and align delivery schedules to ensure timely receipt of quality products that satisfy departmental needs.

• Effectively communicate with suppliers and all levels of staff.

Qualifications:

Strong communication skills are essential. These skills are typically developed through a high school education or equivalent, along with a minimum of two years of purchasing experience; or through the completion of a college degree in business administration or a closely related field, supplemented by one year of relevant experience.

Regulatory and Compliance Responsibilities:

In addition to the duties outlined, every employee is responsible for compliance with laws and regulations:

• Participate in mandatory training sessions.
• Perform duties in accordance with local laws and regulations.
• Ensure minors are not permitted in gambling areas or allowed to consume alcohol or purchase tobacco.
• Be knowledgeable about the ordinances, regulations, laws, policies, and procedures relevant to the department.
• Refer to Internal Control Procedures and Policy Manuals for guidance.
• Report any illegal activities to Security or appropriate management levels.

Salary Range:
USD $50,000.00 - $52,000.00 per year.
