The Role

A Client Support Coordinator plays a vital role in the operational success of Hartwig by managing and overseeing the lifecycle of new capital equipment orders for CNC machine tools. This position is essential in ensuring organizational efficiency and delivering a positive experience for our clients across various sectors. The primary responsibilities of this full-time role include:

  • Inputting, updating, and managing essential data, including CNC machine tool specifications, delivery timelines, and installation records in the appropriate systems.
  • Collaborating with internal teams to align expectations and coordinate installation schedules for client orders.
  • Working closely with the logistics department to ensure cost-effective and seamless transportation of equipment to client locations.
  • Tracking shipment timelines throughout the order process and proactively communicating any changes, as well as investigating any missed shipment dates.
  • Providing clients and Service Engineers with necessary installation preparation details to ensure readiness for the installation.
  • Handling all installation documentation and ensuring proper submission to the manufacturer.
  • Creating installation work orders in the designated management system.
  • Conducting introductory and follow-up communications with clients to foster strong working relationships.
  • Participating in regular team meetings to share updates and gather feedback.
  • Performing general office tasks, including managing incoming calls, sorting correspondence, and providing administrative support as needed.
  • Assisting in organizing training sessions, open houses, and other corporate events, which may involve logistics such as invitations, registration, and catering.
  • Managing Accounts Receivable tasks, including occasional collection calls, maintaining customer listings, obtaining necessary tax exemption certificates, and resolving payment discrepancies.
  • Partnering with leadership to enhance overall operational workflows and office efficiency.
  • Coordinating events with sponsors and stakeholders.
  • Being cross-trained to provide support for installation-related repairs and maintenance when necessary.

Qualifications

The ideal candidate for this position should possess the following qualifications:

  • A minimum of 4 years of experience in a dynamic customer service environment, preferably within the manufacturing sector.
  • Exceptional interpersonal communication skills and the ability to build strong client relationships.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Meticulous attention to detail and a commitment to follow-through.
  • Strong negotiation and persuasion capabilities.
  • Proven problem-solving and decision-making skills.
  • Professional demeanor with the ability to cultivate long-term relationships with both clients and team members.
  • A positive attitude and high energy when interacting with customers and colleagues.
