Executive Assistant Job Summary

We are seeking a highly organized and proactive Executive Assistant to support senior leadership within our company. The ideal candidate will be responsible for managing the daily operations of the executive office, ensuring smooth communication between departments, and providing strategic support to senior leaders.

Key Responsibilities:

  • Executive Support: Assist senior leadership with daily tasks including scheduling meetings, managing calendars, and preparing reports and presentations.
  • Communication Liaison: Serve as the point of contact between executives and internal/external stakeholders. Facilitate communication across departments.
  • Document Management: Assist with mortgage-related document preparation, filing, and processing. Maintain records, track deadlines, and ensure compliance with industry regulations.
  • Project Coordination: Assist in coordinating high-level projects within the company, track timelines, and ensure deliverables are met.
  • Client Relationship Management: Support executive leadership in managing client relationships, including correspondence, follow-ups, and problem-solving.
  • Travel and Meeting Arrangements:


Requirements:

  • Experience: 3+ years of experience as an Executive Assistant, preferably in the mortgage or real estate industry.
  • Industry Knowledge: Strong understanding of mortgage lending processes, compliance requirements, and industry terminology.
  • Skills: Excellent verbal and written communication skills, proficiency with Microsoft Office Suite, ability to prioritize tasks, meet deadlines, and work under pressure, strong organizational and multitasking abilities, and high level of integrity and discretion in handling confidential information.
