As a Procurement Specialist, you will be responsible for managing material orders and deliveries, utilizing our inventory systems and local suppliers. You will handle a significant volume of vendor purchase orders and work orders daily within our procurement software. Your role will also involve improving and supervising purchasing and inventory management systems.

Key Responsibilities:

  • Solicit multiple quotes and negotiate optimal pricing and service guarantees for materials.
  • Collaborate with accounts payable to resolve discrepancies between purchase orders and invoices.
  • Conduct three-way matching of vendor invoices, receipts, and purchase orders to ensure accuracy.
  • Evaluate vendors and identify new suppliers as necessary, including the creation of a preferred vendor list.
  • Enforce purchasing policies and procedures consistently.
  • Review bids, award contracts, and issue purchase orders as required.
  • Establish account/credit terms with suppliers.
  • Create a matrix of standard lead times for stock materials.
  • Maintain communication with vendors regarding order status and delivery timelines.
  • Ensure adequate supplies are available for production needs.
  • Address and resolve vendor-related issues, including returns.
  • Update inventory usage and receipts on a daily basis.

  • Assist with special projects as they arise.
  • Coordinate with shipping and receiving departments to manage deliveries of incoming orders.
  • Conduct cycle counts of inventory based on necessity.
  • Promote and maintain a safe and organized work environment.
  • Perform additional tasks as needed to support efficient departmental operations.
  • Evaluate and select vendors based on pricing, quality, service, and availability.
  • Negotiate contracts and pricing with suppliers to secure favorable terms.
  • Develop and nurture relationships with suppliers for reliable and timely supply.
  • Process purchase orders ensuring all documentation is accurate, including specifications, pricing, quantity, and delivery schedules.
  • Monitor and manage inventory levels to guarantee material availability.
  • Collaborate with internal departments to forecast demand and schedule deliveries effectively.

  • Conduct regular evaluations of supplier performance to maintain quality and service standards.

  • Resolve issues related to supply shortages, delivery delays, and quality discrepancies.

  • Participate in trade shows, conferences, and industry events to stay updated on new products and market conditions.
  • Maintain accurate records of purchasing activities, including supplier information, contracts, and purchase orders.

Qualifications:

  • A degree in Business, Supply Chain Management, or a related field.
  • Prior experience in a purchasing or procurement role.
  • Comprehensive knowledge of sourcing and procurement methodologies.
  • Familiarity with purchasing software and databases.
  • Exceptional initiative and interpersonal communication skills.
  • Strong analytical skills with the ability to generate financial reports and conduct cost analyses.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Solid understanding of supply chain and inventory management systems.
  • Knowledge of relevant laws and regulations related to purchasing and procurement.
  • Ability to work independently and collaboratively in a fast-paced environment.
