Your expertise in sourcing strategies and cost management will be crucial to our organizational success and market competitiveness.
As a Procurement Specialist, you will be responsible for managing material orders and deliveries, utilizing our inventory systems and local suppliers. You will handle a significant volume of vendor purchase orders and work orders daily within our procurement software. Your role will also involve improving and supervising purchasing and inventory management systems.
Key Responsibilities:
- Solicit multiple quotes and negotiate optimal pricing and service guarantees for materials.
- Collaborate with accounts payable to resolve discrepancies between purchase orders and invoices.
- Conduct three-way matching of vendor invoices, receipts, and purchase orders to ensure accuracy.
- Evaluate vendors and identify new suppliers as necessary, including the creation of a preferred vendor list.
- Enforce purchasing policies and procedures consistently.
- Review bids, award contracts, and issue purchase orders as required.
- Establish account/credit terms with suppliers.
- Create a matrix of standard lead times for stock materials.
- Maintain communication with vendors regarding order status and delivery timelines.
- Ensure adequate supplies are available for production needs.
- Address and resolve vendor-related issues, including returns.
- Update inventory usage and receipts on a daily basis.
- Manage an inventory system specifically for maintenance items.
- Prepare month-end inventory reports promptly.
- Anticipate future purchasing requirements and associated costs.
- Input daily purchase orders into procurement software and coordinate with project management teams to resolve discrepancies.
- Provide bi-weekly detailed spending reports to the finance department.
- Forecast inventory orders for the upcoming month.
- Ensure compliance with tax-exempt status for eligible customers.
- Assist with special projects as they arise.
- Coordinate with shipping and receiving departments to manage deliveries of incoming orders.
- Conduct cycle counts of inventory based on necessity.
- Promote and maintain a safe and organized work environment.
- Perform additional tasks as needed to support efficient departmental operations.
- Evaluate and select vendors based on pricing, quality, service, and availability.
- Negotiate contracts and pricing with suppliers to secure favorable terms.
- Develop and nurture relationships with suppliers for reliable and timely supply.
- Process purchase orders ensuring all documentation is accurate, including specifications, pricing, quantity, and delivery schedules.
- Monitor and manage inventory levels to guarantee material availability.
- Collaborate with internal departments to forecast demand and schedule deliveries effectively.
- Analyze market trends to identify new suppliers and products, as well as to predict future price movements.
- Conduct regular evaluations of supplier performance to maintain quality and service standards.
- Ensure adherence to purchasing policies, procedures, and relevant regulations.
- Resolve issues related to supply shortages, delivery delays, and quality discrepancies.
- Implement cost-saving initiatives and strategies to enhance efficiency and reduce purchasing expenses.
- Participate in trade shows, conferences, and industry events to stay updated on new products and market conditions.
- Maintain accurate records of purchasing activities, including supplier information, contracts, and purchase orders.
Qualifications:
- A degree in Business, Supply Chain Management, or a related field.
- Prior experience in a purchasing or procurement role.
- Comprehensive knowledge of sourcing and procurement methodologies.
- Familiarity with purchasing software and databases.
- Exceptional initiative and interpersonal communication skills.
- Strong analytical skills with the ability to generate financial reports and conduct cost analyses.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Solid understanding of supply chain and inventory management systems.
- Knowledge of relevant laws and regulations related to purchasing and procurement.
- Ability to work independently and collaboratively in a fast-paced environment.
