Catering and Events Coordinator


POSITION OBJECTIVE:

The Catering and Events Coordinator is responsible for overseeing the efficient execution of our private event sales and catering operations, ensuring client satisfaction and fostering repeat engagements.


KEY RESPONSIBILITIES:
  • Manage administrative duties related to group sales as directed by the General Manager, including the preparation of sales materials, documentation of potential clients, organization of files, contract preparation, invoicing, and facility tours for prospective clients.
  • Conduct weekly catering forecasts for review with the General Manager and Director of Operations.
  • Create Banquet Event Orders (BEO) to communicate specific requirements, agreed details, and pricing for events, meetings, or programs to clients and operational teams.
  • Facilitate weekly BEO meetings with relevant departments to ensure clarity on operational and financial details.
  • Provide comprehensive information regarding group needs from arrival to departure.
  • Act as a liaison between the restaurant and groups, ensuring the meeting space is properly arranged and addressing any special requests from clients.
  • Communicate last-minute changes in group functions to restaurant staff and ensure complete follow-through.
  • Serve as the on-site liaison during events as necessary.
  • Promote the event space to suitable groups and outlets, actively seeking future business opportunities.
  • Establish and maintain relationships with local vendors to support event execution.
  • Regularly assess customer satisfaction with banquet services and recommend operational and marketing adjustments when necessary.
  • Stay informed about the competitive landscape of similar venues and pricing within the market.
  • Ensure compliance with regulations set forth by the Alcoholic Beverage & Tobacco Commission.
  • Support other on-premise Food and Beverage operations as required.

QUALIFICATIONS:
  • Education: Bachelor’s Degree preferred or a minimum of three years of experience in Hospitality, Business, or a related field.
  • Experience: Preferred - 3 years of experience in Food & Beverage, leading a team to deliver exceptional customer service. Previous sales experience is advantageous.
  • Knowledge and Skills: Proficient in Microsoft Office and Google G-Suite. Excellent verbal and written communication skills. Professional demeanor that inspires trust and confidence. Positive and enthusiastic attitude. Ability to motivate others towards excellence. Strong attention to detail and commitment to quality standards. Capable of multitasking. Flexibility to work varied hours, including evenings, weekends, and holidays.

REQUIREMENTS:

Must pass a background check and mandatory drug screening.


PHYSICAL DEMANDS:

The physical demands of this role include the ability to sit, stand, walk, see, hear, talk, drive, and dine with others. The employee must have conversational hearing, with or without assistance, as well as adequate vision and effective verbal communication skills. Additionally, the employee must possess the dexterity to operate standard office equipment and the ability to occasionally lift 40 pounds or more.
