About the Role

We are seeking a highly skilled Facilities Operations Specialist to join our team at JT4 LLC. In this role, you will be responsible for maintaining, sustaining, and improving company facilities under minimal supervision.

As a Facilities Operations Specialist, you will ensure that facility daily operations support company requirements and that all necessary resources for continuous operation are available. You will work closely with Safety, Security, and company management to complete routine facility tasks, make decisions within authority on behalf of the company for urgent and emergency actions necessary to keep facilities in good working order, and brief other actions required to management for approval.

You will be responsible for tracking all open facilities tasks and reporting status as required. Additionally, you will coordinate funding required for all facility actions. Your knowledge and experience will enable you to apply cost analysis, bid jobs, set up vendors, and establish vendor expectations.

The successful candidate will have experience in maintenance and facilities coordination, including regular tours/inspections of facilities, ensuring effective functioning of HVAC, plumbing, electrical, and telephone systems, and monitoring progress and effectiveness of work.

Key responsibilities will include:

  • Accomplishing regular tours/inspections of 1075 Vapor Trails facility
  • Ensuring all facility functions are performing effectively: heating, ventilation, air conditioning (HVAC), plumbing in kitchens and bathrooms, fixtures in kitchens and bathrooms, electrical outlets, lights, and circuits, telephone, faxes, copiers, printers
  • Ensuring all facility physical elements are intact: floors tile, grout, carpet, transitions, walls paint, cleanliness, structure, windows, stairs and stairwells, furniture chairs, desks, bookcases, computer tables, conference tables, kitchen cabinets, mailroom cabinets, guard station fixtures, doors, locks, key pads, fire extinguishers
  • Ensuring external grounds are adequately maintained, controlled, and marked: watering, trimming, viability of plantings, ground cover, walkways, parking lot, lighting
  • Ensuring all building safety requirements/regulations are in compliance: ingress/egress, doors, locks, crash bars, safety lighting, exit signs, fire extinguishers, safety postings, hallways, flooring, doorways, stairs, exterior walkways and stairs, parking lot
  • Identifying qualified, responsive vendors for materials and supplies, identifying qualified, responsive vendors for maintenance and repairs, negotiating and implementing contracts and/or agreements with vendors as required
  • Validating quality and completion of work, approving billing and payments
  • Daily identifying supplies and materials required for facility support, providing supplies and materials requirements to BSO for procurement, monitoring and coordinating janitorial support from BSO, reviewing work accomplished, ensuring quality of support, providing feedback as necessary
  • SUPPORTING OTHER SAFETY DEPARTMENT REQUIREMENTS AS REQUIRED AND AS TIME PERMITS

Requirements

We are looking for a candidate with an Associate's degree in Business Administration, Management, or equivalent training/experience with at least 7 or more years of related experience. Experience and good working knowledge of current Uniform Building Codes as well as other established standards may be required to allow the position to make qualified decisions based on this knowledge of requirements, analysis of needs, and processes to ensure compliance.

Additionally, the ideal candidate will possess very good written communication skills and organizational skills. A valid state-issued driver's license is also required. The candidate must qualify for and maintain a government security clearance.
