Job Summary

The primary objective of this role is to provide comprehensive support to the Inside Sales Staff and Branch Management Team, while developing a deep understanding of our business operations to facilitate future growth within the organization.

This position is a critical component of our sales team, responsible for order entry and maintenance, reporting, backlog review, spreadsheet administration, and providing overall support for important branch administrative needs.

The Customer Service Representative will also provide backup support for the sales team on customer needs and contribute to growing sales with key accounts.

A key indicator of success for this role is the ability to manage multiple daily priorities at a rapid pace.

Essential Duties and Responsibilities
  1. Meet with the Branch Management team within the first 30 days to understand the Company vision and key objectives for the branch.
  2. Collaborate to document the role in achieving these objectives.
  3. Within the first 30 days, prepare and maintain various spreadsheets needed within the branch, demonstrating a good working knowledge of MS Excel.
  4. Within the first 90 days, learn the Heilind CRM system and resources, working knowledge of order entry and workflows, and utilizing resources to manage business and issues that arise.
  5. Within the first 90 days, decipher customer backlog in conjunction with applicable product availability, communicating with Sales and Customers to ensure 95%+ on-time delivery for the branch.
  6. Within the first 6 months, provide one process improvement idea related to the position.
  7. Develop solid working relationships with all internal key support personnel, maintaining top levels of professionalism and diplomacy when dealing with internal support teams.
Requirements

An associate degree or 1-2 years of progressively responsible experience in an office or related customer service environment, or an equivalent combination of education and experience, is required for this position.

The ideal candidate must be a U.S. Person as defined by ITAR, with excellent interpersonal and communication skills, advanced knowledge of Excel, Outlook, and Word, and proficient knowledge of customer service and standard office practices and procedures.

Physical Requirements

This role requires the ability to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers.

Working Conditions

This position is not substantially exposed to adverse environmental conditions, typical of office or administrative work.
