Celia Corporation is seeking a highly organized and detail-oriented Facilities Administrative Assistant to join our team. As a key member of our maintenance department, you will be responsible for providing administrative support to our facilities team.
Key Responsibilities- Purchasing and Inventory Management: Manage the purchasing of all supplies and stock for the maintenance department, ensuring timely delivery and optimal inventory levels.
- Project Cost Tracking and Reporting: Participate in project cost tracking and reporting, providing accurate and timely financial information to support business decisions.
- Maintenance Database Management: Maintain and manage the Maintenance Database, which includes all Work Orders, Preventative Maintenance tasks, assets, and inventory.
- Team Coordination: Coordinate activities of workers to accommodate business needs and complete work orders, including facilitating emergency repairs.
- Clerical Support: Provide clerical support to the maintenance department, including data entry, filing, and other administrative tasks.
- Time Keeping and Scheduling: Assist with time keeping function and time off scheduling, ensuring accurate and up-to-date records.
- Vendor and Contractor Management: Seek out new and maintain current vendor and contractor relationships, ensuring optimal pricing and service levels.
- Project Support: Complete various other projects and duties as needed to support the department, including contractor pricing reviews and scheduling.
- Education and Experience: High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
- Language Skills: Ability to read, analyze, and interpret common scientific and technical journals and legal documents. Ability to respond to common inquiries from other departments. Ability to write professional written communications.
- Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Computer Skills: Proficient data entry skills. Working knowledge of Microsoft office, excel & word. Knowledge of Epicor 10 is a plus.
