Work Order Coordinator

Job Summary:

Serves as the primary customer service role in the department, providing exceptional support to internal and external customers. Key responsibilities include:

  • Entering print orders received via various channels into the print order entry system.
  • Assisting customers with paper and bindery options, delivery dates, and questions about departmental UPM numbers and account numbers.
  • Researching and identifying previous jobs, entering data, and creating orders in the print MIS to create job jackets.
  • Checking the status of current jobs and filing completed job jackets.
  • Receiving and transferring customer print files to departmental servers for processing.
  • Contacting customers to pick up completed jobs.
  • Collaborating with other internal staff to discuss and plan upcoming jobs.
  • Assisting and filling in for the Senior Procurement Specialist as needed to order paper and other supplies.
  • Contacting vendors to obtain quotes and pricing for non-contract supplies.
  • Coding and allocating paper for print jobs.
  • Completing receipting for cash transactions.
  • Assisting with monthly and annual inventory.

Qualifications:

High School graduate or equivalent – Associate or Bachelor degree preferred.

One year of experience in customer service and order entry.

Experience with Windows-based PC computers and Microsoft Office software – Outlook, Word, and Excel.

Ability to work independently in a fast-paced environment.

One year of experience in printing or bindery operations preferred.

Experience with Adobe Acrobat or Adobe Creative Suite (InDesign, PhotoShop, Illustrator, etc.) or other graphic design software preferred.

Experience with various types of paper and other printing substrates preferred.
