Position Overview & Responsibilities:


The Guest Services Coordinator will create a welcoming atmosphere by greeting and assisting visitors, families, and residents; answering phone calls, providing information, and taking messages as needed; managing mail distribution; typing, filing, and handling correspondence, along with other tasks assigned by the Director of Community Development.


The essential duties and responsibilities outlined below represent the core functions of this role.

  • Welcome visitors and family members, providing requested non-confidential information
  • Answer the phone promptly with the appropriate greeting
  • Sort and distribute mail to relevant departments
  • Type and file correspondence and other necessary documents
  • Uphold and interpret residents' rights
  • Follow and interpret personnel policies
  • Utilize office equipment, including computers and calculators
  • Show concern and compassion for residents and their families
  • Escort individuals to residents' suites and other areas as needed
  • Maintain up-to-date referral, mailing lists, and customer information
  • Assist with data entry into relevant databases
  • Support the processing of all necessary information for successful resident transitions
  • Perform daily clerical tasks associated with the role
  • Stay informed about aging, assisted living, and dementia care through ongoing education
  • Help set up and dismantle special events, promoting teamwork with colleagues
  • Maintain a positive and professional image through actions and attire
  • Ensure a safe and secure environment for all team members, residents, and guests, adhering to established safety standards
  • Carry out other duties as assigned by the Director of Community Development.

Qualifications:

  • Previous experience in customer service or as a receptionist is preferred
  • Proficiency in basic office equipment (including personal computers) to achieve high job performance
  • Exceptional communication skills, both verbal and written, when interacting with referral sources, residents, family members, and coworkers
  • Ability to demonstrate genuine compassion for older adults, showing concern for their physical and emotional needs
  • Friendly, courteous, patient, and understanding demeanor, capable of working well with diverse individuals
  • Must receive the annual flu vaccine, barring religious or medical exemptions.
