Compensation: Hourly base pay rate is $23.75/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Key Responsibilities:
  • Execute various clerical and administrative tasks related to vehicle reconditioning fulfillment.
  • Receive inbound vehicle and registration details from clients requesting reconditioning services.
  • Conduct data entry and confirm customer vehicle information is accurately recorded in the system, ensuring vehicles are properly tagged with a work order.
  • Assess reconditioning requirements and provide timely and precise estimates.
  • Perform inspections of the units and evaluate cosmetic reconditioning needs.
  • Estimate costs for cosmetic repairs and discuss with clients to obtain approval, documenting the outcome in the appropriate tools.
  • Coordinate with reconditioning shop areas for vehicle repairs and ensure timely posting of charges to the appropriate accounts.
  • Create and maintain records associated with reconditioning fees related to these accounts.
  • Check for recalls on all units and document the results in the appropriate tool.
  • Collaborate with P&P and Accounting teams to ensure timely receipt and posting of payments for billings or accounts receivable, as well as contact clients for reconciliation of discrepancies when necessary.
  • Develop strong service relationships with clients.
  • Manage client expectations regarding reconditioning fulfillment activities through proactive communication.
  • Address client inquiries related to assigned vehicles, providing quality service and assisting in problem resolution.
  • Be knowledgeable of client account agreements, vehicle files, title verification, records of completed reconditioning work, and other required information.
  • Input all relevant information into AS400, AutoPoint, and other tools for approved work requested by clients.
  • Utilize AS400/VCF/AutoPoint systems to monitor and track vehicle repairs.
  • Communicate and schedule repairs/enhancements with Recon Shop management.
  • Oversee vehicles throughout the reconditioning fulfillment process to ensure timeline commitments are met.
  • Review completed work to ensure customer quality standards are achieved and/or exceeded.
  • Promote additional services to dealers upon delivery of existing work.
  • Follow up with clients to confirm completion and satisfaction.
  • Collaborate with finance/local management to ensure clients are charged and accounts receivable is collected in a timely manner.
  • Demonstrate a commitment to safety by adhering to all safety and health procedures and modeling related behaviors.
  • Perform other duties as assigned by management.

Qualifications:
  • Minimum: High School Diploma/GED and 3 years' experience in a related field, or a different combination such as any level degree/certification beyond a HS diploma/GED in a related discipline, or 5 years' experience in a related field.
  • Effective communication and organizational skills are required.
  • Commitment to providing excellent customer service is essential.
  • Physical requirements include standing, walking, reaching, talking, and hearing; vision abilities required include close, distance, and color vision, depth perception, and the ability to adjust focus.
  • Ability to stand for extended periods and lift 1-15 pounds.
  • Preferred: Prior experience in vehicle reconditioning, general auto body knowledge, satisfactory computer skills, and the ability to utilize portable terminals.

Work Environment:
This is an outdoor role, meaning exposure to weather elements is to be expected.
Drug Testing: To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. However, we are a drug-free workplace, so the possession, use, or being under the influence of drugs illegal under federal or state law during work hours, on company property, and/or in company vehicles is prohibited.
Benefits: Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Additional paid time off may be available for bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, parental leave, and COVID-19 vaccination leave.
