Job Summary:

As a key member of the Philanthropy Operations Team at Englewood Health, the Assistant Philanthropy Operations Coordinator provides administrative support to the Director, Philanthropy Operations and Prospect Management. This role involves working closely with the Systems Information Specialist to ensure the smooth operation of day-to-day gift processing and data management.

Key Responsibilities:
  • Gift Processing and Reconciliation: Prepare and process gift batches for reconciliation, ensuring accuracy and timeliness.
  • Donor Acknowledgment and Communication: Process daily gift acknowledgment letters, including exporting data from the Raiser's Edge database, creating mail merges, printing, and tracking letters.
  • Pledge Reminders and Reporting: Track, export, and prepare monthly pledge reminders from the Raiser's Edge database.
  • Database Management: Provide backup support to the Systems Information Specialist in entering gifts into the Raiser's Edge database and producing daily gift reports.
  • Reporting and Data Analysis: Produce regular exported reports on donor recognition, special purpose fund activity, and prospect research.
  • Record Keeping and Filing: Maintain accurate records and files as directed.
  • Administrative Support: Assist the Director with coordination of meetings, correspondence, and reports.
  • General Office Duties: Serve as backup for general office duties and provide administrative support as needed.
Requirements:
  • Education: Bachelor's Degree preferred.
  • Technical Skills: Proficient in Microsoft Office applications, especially Word and Excel.
  • Communication and Interpersonal Skills: Strong verbal and written communication skills, with the ability to interact with donors, colleagues, and other stakeholders.
  • Database and Systems Knowledge: Familiarity with database or constituent relationship management systems, preferably Raiser's Edge and Blackbaud products.
  • Organizational and Time Management Skills: Excellent organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
