Job Summary

The Human Resource Operations Coordinator plays a pivotal role in supporting the Human Resources team at LECOM, contributing to the development and implementation of HR policies and programs that align with the institution's objectives. This position is responsible for evaluating policies and practices, identifying areas for improvement, and ensuring compliance with regulatory requirements.

Key Responsibilities:

  • Perform data entry and maintenance of employee records in the HRIS system, including personal information, job title changes, and employee data updates.
  • Create new employee files, ensuring documents are stored on the shared drive and in physical files as required.
  • Assist in overseeing HR records in the File Room and on the shared drive, maintaining up-to-date employee documents, and archiving as necessary.
  • Audit and update postings on CWDS and Employ Florida to ensure compliance with regulatory requirements.
  • Respond to employment verification inquiries and complete verifications as needed.
  • Track claims, managing compliance, risk management, and other matters as required.
  • Monitor and provide support during annual processes such as performance reviews, compensation, and headcount planning.
  • Assist in coordinating recognition programs, including birthday recognition, service anniversaries, company celebrations, and other initiatives.
  • Support benefit renewals, enrollments, terminations, changes, and claims processing.
  • Maintain records of personnel transactions, including hires, promotions, transfers, performance reviews, and terminations, as well as employee statistics for government reporting.
  • Manage COVID-19 notifications, following up with employees, consulting with administration, shutting off badge/IT access as necessary, scheduling testing, securing results, and reinstating access when appropriate.
  • Ensure compliance with COVID-19 vaccine requirements from CMS, OSHA, or other regulatory authorities by securing and recording vaccine records and securing religious or medical exemptions as needed.
  • Manage and audit malpractice coverage across all campuses, maintaining spreadsheets, working with stakeholders to ensure preceptors have coverage as needed, and updating HUB with changes.
  • Perform HR functions, including recruiting, employee relations, data analytics, benefit coordination, and other responsibilities across all locations.
  • Assist the talent acquisition function by sourcing, recruiting, onboarding, and orienting for entry-level positions as assigned.
  • Plan, schedule, and administer selection tests, including coordination of reference, background, or drug screen processes.
  • Develop HR solutions by collecting and analyzing information and recommending courses of action.
  • Provide day-to-day performance management guidance to employees, including coaching, counseling, career development, staffing management, disciplinary actions, and other responsibilities.
  • Assist managers and employees in understanding and applying people tools, policies, and procedures to maximize employee performance, achieve organizational effectiveness, improve employee engagement, and ensure compliance.
  • Help administer various human resources plans and procedures for all company personnel.
  • Contribute directly to the Mission of LECOM, embodying the essence of Osteopathic Principles and Practices, by assisting with institutional fundraising and participating in the LECOM Scholarship Auction.
  • Participate in scholarly activity to enrich and broaden the student learning experience.
  • Represent LECOM by being actively involved in the community, serving on Boards, participating in community fundraisers, and overall outreach efforts.
  • Accept other duties needed or assigned for the institution's needs.
