Job Summary

The Academic Programs Coordinator is responsible for implementing the vision and strategy of programs within Academic Programs and Curriculum Development (APCD). This role coordinates and manages the day-to-day program and administrative operations within assigned programs and collaborates with colleges to ensure successful operations and achievement of program goals.

Key Responsibilities:

  • Develop and execute programs within Academic Programs and Curriculum Development (APCD) by implementing, administering, and evaluating program policies and procedures to achieve program objectives.
  • Provide information and advice to current and prospective students, parents, and faculty related to APCD programs.
  • Oversee the processing of applications and records for assigned programs, making independent decisions regarding applications following prescribed guidelines.
  • Coordinate the recruitment, hiring, and onboarding process for student workers within assigned programs, collaborating with colleges and facilitating the hiring process, scheduling training, coordinating work assignments, approving time, and regularly communicating with applicants, faculty, and Human Resources.
  • Coordinate and schedule activities for assigned programs, facilitating transportation, overseeing communication, and documenting and submitting all necessary requisitions and invoices.
  • Responsible for scheduling seminars, workshops, field trips, and transportation for assigned programs, ensuring alignment with academic calendars and program objectives.
  • Write and edit content for program materials, publications, and other program activities.
  • Conduct research to assess program performance and progress toward program objectives to make programmatic recommendations to ensure attainment of program deliverables.
  • Assist with managing program resources, procuring supplies and materials, and coordinating logistical support for program activities, maintaining supply inventory and entering purchase requisitions.
  • Update and maintain websites and additional materials such as handbooks for assigned programs.
  • Assist with monitoring program expenses, budgets, and finances, performing transactions, running reports, and coordinating with colleges to verify and audit budget and transaction information.

Requirements:

  • This position requires either six years of directly related experience to the position or, as an alternative, a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
  • Experience with computer systems and proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Master's Degree from an accredited institution in an appropriate area of specialization.
  • Experience with Workday, including Period Activity Pay processing, P-card verifications, timesheet approvals, change orders, purchase requisitions, receipt creation, job additions, and similar functions.
  • Experience in university/academic settings.
  • Experience with budgets and maintaining budget information.

Knowledge, Skills, and Abilities:

  • Knowledge of policies, procedures, and regulations pertaining to the position.
  • Knowledge of social media and web design.
  • Skill in organizing resources and establishing priorities.
  • Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Advanced verbal and written communication skills, with the ability to address different audiences such as students, staff, and faculty.
  • Ability to understand, interpret, apply, and explain personnel policies and procedures.
  • Ability to manage and coordinate assignments to meet deadlines.
  • Ability to work independently to complete assignments while functioning as part of a collaborative team.
  • Ability to provide professional customer service.
  • Ability to present to large groups.
  • Ability to multitask and work in a fast-paced, energetic environment.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
