Job Description

As a Medical Scheduling Specialist, you will play a vital role in managing daily patient and physician scheduling using appropriate systems for ordering of labs, diagnostic test orders, and scheduling.

You will provide clerical support to the clinical team, obtaining records, films, etc. in preparation for daily schedules. Assignments may be confidential in nature and require judgment and discretion at all times.

You will answer telephone calls, make daily patient, physician, and other phone calls, transcribe, distribute, and file correspondence and administrative documents.

Additionally, you will coordinate meeting plans and travel arrangements for physicians, attend and take minutes for meetings, open and sort mail, order supplies as needed, check out patients, answer questions, schedule follow-up appointments or testing, collect co-pays, verify referrals, perform pre-certifications as appropriate, manage and update volumes of patient care policies, assist with training of new schedulers.

You will also maintain a cash drawer, reconcile balances, prepare deposits by completing deposit slips, may take deposits to the bank, batch fee tickets, check for their accuracy and completion, complete batch header documentation, and submit batches to CBO daily.

Required Skills and Qualifications

  • High School Diploma or equivalent required; Associates degree or Medical Secretary Certification preferred.
  • 2 years medical office experience and 1-year prior scheduling experience required. Administrative or secretarial experience preferred.
  • Copier, fax, telephone system, postage equipment, and computer skills (Microsoft Outlook, Word, and Excel) required.
  • Excellent organization and communication skills required. Must be able to multi-task and maintain confidentiality.
