Position Overview:
The Special Events & Marketing Coordinator is tasked with the creation and promotion of various events at the facility, which encompasses venue rentals, concerts, conventions, and in-house activities. This role requires innovative thinking to design marketing strategies that enhance community involvement and awareness. The individual will work closely with the Facility Director to oversee, manage, and coordinate all marketing-related activities to achieve budgetary objectives while contributing to revenue generation for the venue. Responsibilities will include graphic design, advertising, interactive media, promotions, public relations, and grassroots marketing efforts for assigned events. Additionally, this position may require serving as Supervisor on Duty for various events.
Compensation: The hourly wage for this role ranges from $18 to $22.
Benefits: For full-time positions, benefits include health, dental, and vision insurance, a 401(k) savings plan with matching, and paid time off including vacation days, sick days, and 12 holidays.
Key Responsibilities:
- Establish and nurture relationships with promoters, event producers, subcontractors, tenants, and clients, including drafting and executing relevant agreements.
- Assist in the operational aspects of events on the day they occur.
- Plan, coordinate, and manage the logistics of assigned events, acting as the liaison between all parties involved.
- Oversee in-house events in line with venue policies, ensuring effective management of logistics, budgets, and customer service to guarantee event success and client satisfaction.
- Represent the facility at events, enforcing policies and resolving any public or event-related issues professionally.
- Support daily promotions and activities related to in-house events.
- Contribute to the preparation of monthly corporate marketing reports and participate in regular conference calls with other organizational entities.
- Assist in the daily digital and print marketing initiatives, which include social media, website management, advertising, and local media opportunities.
- Engage in public relations efforts, including managing press releases, maintaining media relations, and coordinating interview requests.
- Participate in grassroots marketing efforts such as distributing promotional materials and engaging with the community to enhance event visibility.
- Generate innovative ideas to attract new events and promote existing ones.
- Assist with database management and email marketing campaigns.
- Develop new marketing programs aimed at maximizing ticket sales through partnerships and new media channels.
- Explore unconventional marketing strategies for the facility and its events.
- Utilize graphic design skills with software such as Adobe Photoshop, Illustrator, After Effects, and Premiere.
- Facilitate effective communication and collaboration across departments and with external partners to ensure successful campaigns.
- Perform additional duties as assigned.
Qualifications:
- Bachelor's degree from an accredited institution in event management, facility management, sports management, hospitality management, business administration, marketing, public relations, communications, or a related field.
- Demonstrated knowledge and interest in marketing and advertising.
- Intermediate proficiency in social media platforms (Facebook, Instagram, X, etc.).
- Strong analytical, problem-solving, and written communication skills.
- Able to thrive in a fast-paced environment while managing multiple projects.
- Excellent interpersonal skills with the ability to communicate effectively with the public, staff, and colleagues.
- Proficient in Microsoft Office and Adobe Creative Suite applications.
- Willingness to work a flexible schedule, including early mornings, evenings, weekends, and holidays.
