Key Responsibilities:

  • Professionally welcome visitors and maintain a visitor log.
  • Sort and distribute incoming correspondence, including mail and packages.
  • Manage and update detailed spreadsheets for tracking materials inventory.
  • Maintain an organized repository for materials, facilitating procurement and inventory management.
  • Accurately collect and record fuel receipts.
  • Input data into ADP software for payroll accuracy and record maintenance.
  • Ensure precise timecard entries for timely payroll processing.
  • Track incoming materials and their costs using Excel.
  • Prepare and dispatch all outgoing mail and packages, managing postage and courier services.
  • Order and oversee field office supplies.
  • Monitor and respond to incoming email requests from the site.
  • Coordinate travel arrangements for employees and interviewees, tracking expenses.
  • Draft memorandums, letters, and other necessary documents.
  • Assist with project submittals, making clerical adjustments as needed.
  • Keep office and storage areas organized and tidy.
  • Organize site events, crew lunches, and meetings.
  • Take on additional tasks and special projects as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Valid Driver's License with the ability to drive for company purposes.
  • Self-motivated with a strong commitment to excellence.
  • Demonstrated work ethic and integrity.
  • Focus on safety and a commitment to preventing workplace injuries.
  • Ability to work collaboratively as a team player while also independently meeting deadlines.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite, including Outlook and Excel.
  • Excellent verbal and written communication abilities.
  • Leadership qualities with independent judgment and creative problem-solving skills.
  • Proactive in addressing the needs of internal and external stakeholders.
  • Effective decision-making and problem-solving capabilities.

Physical Requirements:

This position requires the employee to meet certain physical and mental demands to successfully perform essential job functions. Duties may involve sitting, standing, walking, and using hands for various tasks. The employee must be capable of occasionally lifting and/or moving up to 50 pounds.
