Key Responsibilities

The Healthcare Reception Specialist will:

  • Manage patient scheduling by coordinating appointments, including cancellations and reminders. Welcome patients and their families, assisting with registration and form completion. Verify and update demographic and insurance information.
  • Prepare and maintain medical records for patient visits, ensuring all necessary documentation is complete and accessible. Initiate actions to retrieve any missing information prior to appointments.
  • Handle incoming calls with professionalism, taking detailed messages and triaging urgent inquiries as needed.
  • Coordinate procedures, providing patients and families with clear instructions regarding pre- and post-procedure requirements.
  • Address patient inquiries and concerns with empathy, directing them to the appropriate resources when necessary.
  • Process billing statements and collect payments, discussing account statuses and outstanding balances with patients.
  • Facilitate referrals by completing necessary paperwork and ensuring timely communication.
  • Maintain inventory of office supplies and ensure a tidy work environment.
  • Conduct follow-up calls to remind patients of appointments and provide updates on test results as directed.

Additional Duties

Other responsibilities may include:

  • Assisting with billing processes and patient flow management as required.
  • Performing additional tasks as assigned by management.
  • Adhering to all relevant policies and standards.
  • Complying with regulations to protect patient information and privacy.

Qualifications

Education

  • High School Diploma or equivalent required.

Experience

  • Minimum of 1 year of relevant experience preferred.

Skills and Competencies

  • Strong interpersonal and communication skills.
  • Able to interact effectively with diverse populations.
  • Proficient in computer applications with a typing speed of at least 40 words per minute.
  • Familiarity with medical terminology and coding is advantageous.

Physical Requirements

  • Ability to sit for extended periods, with occasional standing and walking.
  • Light lifting and carrying may be required.
