SUMMARY: Responsible for ensuring the accurate entry and validation of all consumer loans within the loan management system, adhering to departmental guidelines and maintaining strict accuracy and control measures. This role serves as the primary point of contact for retail branches regarding customer inquiries or issues, involving research, processing, and communication of results to customers or branch staff. Duties also include processing daily payments received via mail through branch capture, identifying exceptions, and maintaining required proof documents for the designated retention period.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Perform precise data entry for various consumer loan types, including residential mortgages, HELOCs, unsecured loans, Instalines, closed-end seconds, construction loans, and both direct and indirect auto loans, utilizing manual input or extraction methods.
  • Retrieve and review paper documents against extracts or through the origination system for accurate data input and validation.
  • Ensure all loans received for entry are balanced between funding and input, with appropriate credits or debits to all general ledgers.
  • Maintain key documentation, including tracking and identification of real estate loans located in flood zones.
  • Process all mail payments for various loan types, including commercial loans, through branch capture on a daily basis.
  • Balance and maintain proof documents, including checks and statement copies, for the required retention period.
  • Set up data entries for all ACH and AFT transactions received from branches related to consumer loans.
  • Act as the main contact for retail branches and customers regarding routine inquiries and resolutions related to loan payments, late charge waivers, interest calculations, and billing notices.
  • Conduct non-exception file maintenance and transactions, such as late charge waivers and payment due date changes.
  • Perform SOX reviews for loans entered by other departmental staff to validate critical financial, regulatory, and compliance data, alerting management to any trends or issues.
  • Ensure that all file maintenance is completed according to source documents, is valid, and performed by authorized personnel.
  • Review documents to confirm the Bank's valid lien position for titled consumer loans from both direct and indirect channels, updating tracking systems and notifying the appropriate department if documents are not received within the required timeframe.
  • Examine electronic titles and assess daily incoming e-titles.
  • Utilize system-generated information to provide quotes and process payoffs for consumer auto loans.
  • Monitor departmental tickers for operational efficiency.
  • Review loans with low principal balances for potential payoff opportunities and notify customers accordingly.
  • Assist in preparing satisfactions for loans that have been paid in full.
  • Maintain an organized and structured loan vault.
  • Complete all mandatory and elective training, including BSA and Anti-Money Laundering procedures, ensuring compliance with all relevant regulations.
  • Regular and predictable attendance is an essential requirement of this position.
  • Perform all other duties as assigned.

EDUCATION and/or EXPERIENCE:

  • High school diploma or GED.
  • A minimum of three years of experience with loan documents in a lending or loan servicing environment, with the ability to read and interpret loan documents.
  • Knowledge of lending and servicing regulatory and compliance guidelines.
  • Familiarity with lien titling, including experience with electronic titles and UCCs.
  • Understanding of interest accrual methods applicable to all loan types.
  • Strong organizational skills with attention to detail and the ability to multitask in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Team-oriented with a demonstrated willingness to assist colleagues during peak workflow periods.
