Job Overview

This role is essential in delivering administrative assistance to the healthcare providers at Annapolis Internal Medicine, LLC, as well as facilitating care coordination for patients. The responsibilities associated with this position encompass, but are not limited to:

  • Managing a multi-line telephone system to address incoming calls and retrieve voicemail messages. The individual must effectively respond to patient inquiries, direct callers to the appropriate personnel, or initiate clear and concise messages for follow-up by medical staff.
  • Coordinating patient appointments within our Athena EMR system, adhering to established protocols.
  • Welcoming and guiding patients, visitors, and sales representatives in a courteous and friendly manner.
  • Conducting check-in procedures at the front desk, confirming insurance eligibility, collecting co-pays, and reconciling outstanding balances. Employees responsible for payment collection must balance and verify daily reports using DocResponse and Athena.
  • Providing coverage in our AIM Clinic on Saturdays from 8 AM to 2 PM, scheduled on a rotating basis.
  • Confirming Medicare Wellness Exams and commercial annual physicals in advance to ensure appointments are not scheduled prematurely.
  • Monitoring the work environment to ensure efficient resource utilization and patient flow.
  • Utilizing EMR proficiently and staying current on all functions of the EMR for clerical tasks through the learning portal and ongoing education in Athena.
  • Facilitating communication between patients, physicians, and medical staff to complete call-backs, scheduling, chart exporting, and redirecting results to the ordering physician as necessary, along with other administrative duties.
  • Sorting, scanning, and processing documents into patient charts.
  • Compiling medical records for requests from various sources, including patients, hospitals, and surgery centers.
  • Registering patients for our Patient Portal, either by direct registration or by sending invitations.
  • Accessing various websites to verify patient eligibility, such as Carefirst, Aetna, and United Healthcare.
  • Reviewing physical exams in advance to ensure they are not scheduled too soon.
  • Gathering results and consult notes from various providers to ensure comprehensive records for patient visits.
  • Sorting physician mail daily once received from the business office.
  • Providing coverage at check-out as needed.

Requirements/Certifications

  • High school diploma or GED; one to two years of related experience and/or training preferred, but not mandatory.

Additional Notes

Employees may be eligible for part-time telework following a 90-day probationary period, contingent upon satisfactory performance. This is a benefit and not guaranteed; inadequate staffing or performance issues may necessitate in-office work.
