Job Overview

The Team Coordinator plays a crucial role in supporting the daily operations of Mitigation Managers. This position encompasses a variety of tasks related to damage restoration, including but not limited to mold remediation, water damage restoration, fire damage recovery, biohazard cleanup, and general repair services.


Key Responsibilities
  • Respond promptly to mitigation service requests and coordinate team dispatch.
  • Occasionally input job details into the PSA system.
  • Regularly review the Job Management Report for mitigation and repair projects.
  • Monitor Key Performance Indicator (KPI) timelines and communicate with Project Managers regarding any alerts.
  • Assist in addressing initial customer complaints effectively.
  • Perform additional tasks as assigned by management.
  • Ensure the accuracy and management of the PSA system.
  • Oversee accounts receivable collection and documentation.
  • Act as a customer service liaison.
  • Handle administrative and accounting tasks for the team, as well as provide support to the EST and PM.
  • Foster positive customer relationships.
  • Ensure job entries are made in PSA and notify the Project Manager.
  • Coordinate customer interactions, including scheduling appointments and confirming data in PSA.
  • Create and maintain Repair Binders for mitigation projects.
  • Prepare daily and nightly job schedules by 4:15 PM each day.
  • Develop a monthly on-call schedule for water technicians.
  • Participate in production meetings with Project Managers.
  • Input billing information into Xactimate.
  • Update all Program KPIs and necessary reports.

Repair Coordination
  • Direct repair requests to the appropriate coordinator for estimator scheduling.

Qualifications
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Exchange).
  • Strong written and verbal communication skills in English.
  • Detail-oriented with a proactive approach.
  • Customer-centric mindset.
  • Ability to work collaboratively within a team.
  • Strong interpersonal skills.
  • Effective problem-solving abilities.

  • High school diploma or equivalent required.
