Project Management Coordinator

Family Industries is seeking a highly organized and detail-oriented Project Management Administrator to support our project management team.
Key Responsibilities:- Administrative Support:
- Assist project managers in organizing and managing project tasks.
- Maintain project documentation, including plans, schedules, and reports.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Communication:
- Serve as a point of contact for project team members and stakeholders.
- Facilitate communication across departments to ensure project alignment.
- Provide regular updates on project status to relevant parties.
- Scheduling and Coordination:
- Coordinate project meetings, including scheduling and logistics.
- Track project timelines and ensure deadlines are met.
- Assist in resource allocation and management.
- Data Management:
- Maintain project databases and ensure information is up to date.
- Generate and analyze reports to track project progress and performance.
- Assist in the preparation of project proposals and presentations.
- Support Project Execution:
- Assist in the development and implementation of project plans.
- Monitor project budgets and expenditures.
- Identify and resolve issues that may arise during project execution.
- Accounts Payable and Financial Management:
- Handle invoicing and follow-ups.
- Manage accounts payable tasks, ensuring timely payments and accuracy.
- Process COI insurance requests.
- HR Onboarding:
- Assist with onboarding new employees, including salary and event staff.
- Ensure all HR documentation is complete and up to date.
- Procurement and Ordering:
- Take over all ordering and purchasing responsibilities.
- Coordinate with suppliers and vendors to ensure timely delivery of materials.
- Manage inventory and stock levels.
- Project Management for Smaller Events:
- Oversee and manage smaller events from inception to completion.
- Develop terms and work-back schedules for projects.
Qualifications:
- Proven experience in an administrative or project support role.
- Intermediate to advanced computer skills including Mac OS, and Google Suite.
- Familiarity with Google Work Space, , Pandadoc, and Printavo.
- Familiarity with Adobe Photoshop and Adobe Illustrator is a plus.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Ability to take initiative and problem solve in a team environment with interaction of all levels company staff.
- Excellent typing and communication ability, time management, and task prioritization skill.
- Loves helping others and is an all-around empathetic person.
- Team player who enjoys collaborating with others to accomplish goals.
- Ability to quickly build rapport with employees and customers.
- Enjoys a fast moving environment where things are always evolving.
- HS Diploma or equivalent minimum required.
