JOB SUMMARY

Under the guidance of the designated supervisor, the Program Assistant will deliver essential clerical support for the operations and services of the Tribal TANF Program.

ESSENTIAL JOB FUNCTIONS

- Greet and assist all visitors and families at the Tribal TANF office, directing them to the appropriate personnel or departments with professionalism and courtesy.

- Answer phone calls in a professional manner, directing inquiries to the appropriate staff or their voicemail, transcribing and routing messages as needed, and managing incoming mail.

- Provide client families and community members with referrals, information, or assistance related to social services. Help in creating files and maintaining records of contacts. Complete and review basic computer documents and may input and extract data from electronic information systems.

- Assist program staff with routine clerical tasks such as scheduling appointments, photocopying, inter-office deliveries, sorting, labeling, and processing various types of mailings, filing, data entry, and word processing tasks.

- Maintain inventory and order office supplies. Route documents to the appropriate support departments as necessary. Ensure that the client reception and general office areas are organized, requesting maintenance or custodial services for the department as required.

- Assist with scheduling program activities and compiling participant lists for various programs and events. Prepare basic reports and documents as directed by management. Help maintain program budgets, enrollment documents, or compile data measurements. Support staff with activities, events, or workshops. Contribute to the development of calendars, newsletters, logs, and publications.

- Perform related duties and responsibilities as required.


REQUIRED KNOWLEDGE AND SKILLS

Ability to:

- Operate general office equipment, including copier, scanner, fax, printer, and desktop or laptop computers, demonstrating proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Publisher.

- After proper training, develop proficiency in the client database program and other regularly used software.

- Prepare clear, concise, and accurate correspondence and notes.

- Communicate effectively, both orally and in writing, using proper grammar and language.

- Research internet and other resources for referrals to public and social service programs and related resources.

- Establish and maintain positive working relationships with clients, staff, and personnel from outside agencies.

- Read and interpret documents and various instructions furnished in written, oral, diagram, or schedule form, such as memoranda, operational instructions, and policy manuals.

- Perform basic mathematical operations in various units of measure.

- Work effectively with individuals from diverse cultures, ethnic backgrounds, and socio-economic statuses, demonstrating sensitivity to the needs of Indian communities.


Training and Experience:
High School Diploma or GED equivalent and two years of administrative or clerical experience; or a combination of education and experience.

Other Requirements:
Possession of a valid and current California Driver's License. The incumbent must successfully pass a pre-employment drug screening and a criminal background investigation. The individual must have the ability to work with people from diverse cultures, ethnic backgrounds, and socio-economic statuses, with knowledge of Indian communities and sensitivity to their needs.

The incumbent must adhere to strict confidentiality practices regarding employer, tribal member, and public citizen information. Violations of this requirement could lead to immediate dismissal.


ENVIRONMENTAL CONDITIONS AND PHYSICAL REQUIREMENTS:
Work is performed in an office setting with continuous contact with staff and the public. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. The employee must occasionally lift and/or move up to 25 pounds. The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Long periods of sitting, some bending, stooping, squatting, reaching, twisting, or any combination of these may be required.
