We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the University of California, Merced. As an Administrative Assistant, you will provide business services such as purchasing, inventory, and facilities management, as well as general clerical and administrative assistance to departmental staff.

Key Responsibilities:

  • Perform basic data entry and maintain accurate records in established databases.
  • Transfer data or information to templates and standard office software programs.
  • Assist in preparing and sending mailings, including stuffing envelopes and printing labels.
  • Provide basic information about the department or location to visitors and customers.
  • Answer telephones, direct calls, and take messages.
  • Maintain inventory of office supplies and gather orders for restocking.
  • Maintain routine calendars, schedule meetings, and arrange for audio-visual equipment.
  • Maintain files, screens, and distribute mail, including opening, sorting, and routing incoming mail.

Qualifications:

  • High School Diploma or equivalent required.
  • Ability to learn University policies and procedures.
  • Basic communication skills required.
  • Discretion, diplomacy, and confidentiality are essential.
  • Ability to work under close supervision and follow established procedures.
