Position: Warehouse Operations Specialist

Role Summary:

The Warehouse Operations Specialist is crucial for maintaining efficient warehouse processes, including the preparation of orders for dispatch, managing relevant documentation, and ensuring timely and accurate shipments. This role is integral to the overall organization, cleanliness, and inventory oversight within the warehouse environment. Additionally, this position may serve as a backup for the receiving clerk as necessary.

Key Responsibilities:

  • Assign specific lots to sales orders in the manufacturing system, ensuring accurate lot number matching and prioritizing older materials for shipment.
  • Generate picking tickets with verified lot numbers to facilitate product retrieval.
  • Prepare shipping documentation, including shipping tickets and bills of lading, while ensuring accurate labeling.
  • Coordinate with the Logistics Coordinator to arrange pickups or shipments according to customer specifications, adhering to freight terms and scheduled appointments.
  • Ensure all shipments align with customer orders to uphold satisfaction standards.
  • Alert management regarding any unfulfilled scheduled shipments.
  • Document product condition with photographs prior to loading for shipment.
  • Load and unload trucks as required, demonstrating proper forklift operation and load positioning knowledge.
  • Obtain freight quotes as necessary.
  • Organize and archive all shipping documentation on the network/SharePoint systematically.
  • Collaborate with the Logistics Coordinator to prepare international shipping documents, including commercial invoices and NAFTA documentation, with a solid understanding of incoterms and harmonized tariff codes.
  • Maintain responsiveness to corporate reporting needs while fostering a collaborative team environment.
  • Analyze and standardize procedures to enhance operational efficiency.
  • Participate in cross-training for Receiving Clerk responsibilities.
  • Assist with inventory cycle counts and other related special projects as required.

Daily Duties and Responsibilities:

  • Oversee the verification and documentation of incoming and outgoing materials.
  • Operate forklifts safely and efficiently.
  • Ensure accuracy in data entry within the manufacturing system.
  • Prepare items for shipment and maintain general cleanliness in the warehouse.
  • Schedule daily shipments and monitor environmental conditions in storage areas.
  • Maintain and service the warehouse forklifts as needed.
  • Organize and store both finished goods and raw materials effectively.

Qualifications:

  • Education: High School Diploma or equivalent.
  • Experience: Minimum of 3 years of forklift operation experience.
  • Certifications: Forklift certification is required.
  • Skills:
    • Proficient in Microsoft Office Suite.
    • Able to manage multiple tasks simultaneously.
    • Capable of working in both office and warehouse settings.
    • Excellent communication and teamwork skills.

Performance Metrics:

Accountability for various metrics related to the assigned operational area, including but not limited to:

  • On-Time In-Full (OTIF) deliveries
  • Timeliness of shipping packet scans
  • Submission of product return forms
  • Reporting of damaged raw materials
  • Response times to emails and customer inquiries
  • Management of overtime and expense reduction
  • Monitoring of lost time injuries
