Role Summary and Key Responsibilities

The Site Coordinator / Supervisor is crucial in ensuring the effective execution, coordination, and oversight of all program activities. This role is responsible for fostering a secure, engaging, and enriching atmosphere for members during after-school hours and throughout summer sessions, adhering to our Trauma-Informed practices, policies, and procedures.


Primary Duties:

  • Collaborate with the Chief Operating Officer to maintain and enhance streamlined program processes.
  • Work across departments to ensure cohesive operations.
  • Create an environment that promotes the five essential elements for youth development: safety, positivity, enjoyment, supportive relationships, and recognition.
  • Oversee daily operations of after-school and summer programs, ensuring high-quality engagement.
  • Design and implement comprehensive programs that align with educational standards and support members' growth.
  • Manage program logistics, including scheduling, transportation, meals, and supply procurement.
  • Monitor program activities for safety and effectiveness, ensuring alignment with organizational goals.
  • Prepare monthly reports detailing activities, attendance, and participation for weekly review.
  • Communicate daily with supervisors regarding any personnel or member-related concerns.
  • Commit to regular BGCN / KIPP / Partnership meetings.
  • Adhere to New Jersey Child Care Licensing requirements and organizational policies.
  • Document all incidents and staffing issues as required.
  • Maintain cleanliness and organization of the external site.
  • Implement organizational policies to ensure program success.
  • Act as an Ambassador for the Boys & Girls Club Movement.
  • Maintain accurate payroll records for staff.
  • Perform additional duties as assigned.

Trauma-Informed Practices:

  • Integrate trauma-informed principles into all program aspects, prioritizing the safety of youth participants.
  • Implement strategies to avoid traumatization and promote a sense of agency among members.
  • Recognize signs of distress in youth and provide immediate, appropriate interventions.
  • Offer emotional support during challenging situations, helping youth develop resilience.
  • Respond to unacceptable behavior using positive discipline techniques.

Staff Management and Development:

  • Recruit, train, and supervise program staff, including instructors and volunteers.
  • Provide ongoing support and professional development for staff.
  • Conduct performance evaluations and implement improvement plans as necessary.
  • Foster an inclusive atmosphere where members feel valued and motivated.
  • Collaborate with educators and guardians to create personalized learning plans.
  • Ensure all membership staff fulfill their designated responsibilities.
  • Perform additional duties as assigned.

Community Engagement:

  • Build and maintain relationships with schools and community organizations to enhance program effectiveness.
  • Act as a liaison with external partners, advocating for program impact.
  • Participate in community events to promote organizational programs.
  • Perform additional duties as assigned.

Data Management and Reporting:

  • Collect and maintain accurate records of program attendance and outcomes.
  • Prepare reports on program activities and challenges for leadership and stakeholders.
  • Perform additional duties as assigned.

Budget Oversight:

  • Assist in developing and managing program budgets effectively.
  • Monitor expenditures to ensure alignment with budgetary constraints.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's degree in education, social work, youth development, or a related field (Master's preferred).
  • Minimum of 4 years of experience in program management or youth development.
  • Strong leadership and interpersonal skills.
  • Excellent communication and collaboration abilities.
  • Knowledge of youth development best practices.
  • Experience working with diverse communities.
  • Proficiency in Microsoft Office Suite and data management software.
  • Ability to pass background checks and meet regulatory requirements.
  • Maturity and patience in working with children.
  • Proven leadership experience of over 4 years.
  • CPR Certification/First Aid preferred.
  • Covid vaccination required.
  • Willingness to travel as necessary.
