The Senior Financial Account Coordinator plays a vital role in the operational functions of the Business Office. This position serves as the main liaison for students, guardians, staff, and the broader community, operating under general oversight.
KEY RESPONSIBILITIES:
- Manages cash transactions, processes payments, deposits cash, and issues refunds.
- Reconciles daily cash activities, prepares daily deposits, and generates necessary reports.
- Monitors and maintains student account balances, applying late fees when warranted.
- Engages with students to clarify account charges, financial aid, and addresses disputes regarding account transactions.
- Evaluates student payment plans and makes account adjustments as needed.
- Conducts routine reconciliation of student accounts, including reviews, clearances, and payment applications.
- Oversees student loan collection processes, including monitoring, auditing, and preparing collection correspondence; manages reporting to collection agencies and loan service providers.
- Contributes to the establishment of cash compliance controls, researching and enhancing departmental processes; assists with auditing projects.
- Participates in training staff, including supervising and mentoring student workers.
- Delivers in-person customer service to students, guardians, and the public, providing guidance on complex issues and resolving escalated complaints.
- Issues invoices and collects payments from third-party clients for student-related charges.
- Assists in maintaining records for Federal Perkins loans.
- Performs additional duties as assigned.
REQUIREMENTS:
- High School Diploma or GED required; Associate's Degree in accounting, business, or a related field preferred (equivalent combinations of education and experience may be considered).
- Minimum of two years' experience in an accounting or customer service environment (equivalent combinations of education and experience may be considered).
- Valid driver's license and appropriate insurance, or reliable transportation for daily business activities.
- Must pass a background investigation, including a credit check.
- Intermediate proficiency in MS Office (Word, Excel, PowerPoint, Teams) is essential; familiarity with financial systems (e.g., Banner, TouchNet) is advantageous.
- Availability to work extended hours and weekends as necessary.
- Bilingual candidates (English/Spanish) are preferred, with the ability to communicate effectively with Spanish-speaking individuals.
- Experience with Federal Family Education Loan Program (FFELP) or Perkins Loans is highly desirable.
- Knowledge of financial aid terminology and processes, as well as accounts receivable, cashiering, collections, and billing practices.
- Exceptional communication skills, both verbal and written, with strong public relations and customer service abilities.
- High ethical standards and a commitment to confidentiality; ability to manage multiple priorities and deadlines in a dynamic environment.
- Strong attention to detail and organizational skills, capable of coordinating various tasks efficiently.
WORK ENVIRONMENT:
- This position is primarily office-based within a university campus setting, requiring mobility across the campus for daily responsibilities.
- Regular activities include sitting, walking, standing, talking, and hearing, as well as repetitive use of hands for standard office equipment; occasional lifting of up to 25 pounds may be required.
- Vision requirements include close and distance vision, with the ability to adjust focus as needed.
- Frequent communication using approved technological resources is necessary for accurate information exchange.
- Constant use of computers and other office productivity tools is expected.
