Position Summary

Delivering outstanding customer service during each patient interaction is essential, alongside maintaining accuracy in collecting and verifying patient demographics and insurance details. Effective time management and patient tracking are crucial while collaborating with back-office staff to ensure timely patient care.

Key Responsibilities

1. Greet all patients and visitors warmly upon their arrival, ensuring exceptional customer service is provided at all times.
2. Assist patients with the sign-in process upon entering the facility.
3. Patient Registration: Secure necessary signatures and documents, entering information into the office EMR system with precision:
a. Primary Care facility
b. Patient contact details including address
c. Insurance details including subscriber information
d. Validate patient-insurance relationship by reviewing Photo ID and Insurance Card
e. Collect signed consents for treatment, assignment of benefits, Notice of Privacy Practices, and demographic information
f. Collect patient responsibility amounts including co-payments and self-pay amounts.
4. Manage front desk telephone inquiries, gathering necessary information to resolve questions or direct calls appropriately.
5. Schedule patient appointments as required from various scheduling queues:
a. Reschedule appointments due to provider changes
b. Contact patients for follow-up after emergency department visits
6. Provide information about the organization, including directions and other relevant details.
7. Perform additional clerical tasks as needed, such as filing and photocopying, ensuring patient check-in documents are adequately stocked.
8. Enhance patient satisfaction, optimize provider time, and maximize treatment room utilization during patient visits while adhering to best scheduling practices.
9. Maintain appointment schedules by notifying providers of patient arrivals and addressing any service delays.
10. Alleviate patient concerns by anticipating anxieties, answering questions, and maintaining a welcoming reception area.
11. Ensure availability of treatment information by managing patient records within the EMR system.
12. Keep patient accounts updated by recording personal and financial information during each visit.
13. Manage front office inventory and equipment by monitoring stock levels, anticipating supply needs, placing orders, and scheduling maintenance.
14. Assist any patient in distress by responding to emergencies.
15. Uphold patient confidentiality by safeguarding personal and financial information, ensuring all communications are conducted discreetly.
16. Maintain operational standards by adhering to policies and procedures and reporting necessary changes.
17. Contribute to team objectives by achieving related results as required.

Qualifications

A. Education

  • High School diploma or GED.

B. Experience

  • Minimum of one (1) year experience in a medical front office or similar environment is required.
  • At least one (1) year of experience handling insurance eligibility and verification is required.
  • Experience as a Medical Assistant in a front office setting is preferred.

C. Skills

  • Ability to maintain a professional demeanor with a focus on patient care. Must be capable of multitasking. Proficiency in reading and speaking Spanish is required.
