Position Overview:

  • The Healthcare Provider Support Coordinator (HPSC) is responsible for executing essential tasks that bolster Provider services at the institution. This position specifically supports the Chief Medical Officer (CMO) and the Patient Safety and Quality Officer (PSQO) through various functions, including: (1) management of budget and expenses for the Medical Staff Office (MSO), (2) facilitation of privileging and credentialing processes, and (3) coordination of operational logistics to assist the CMO and PSQO. The HPSC oversees the non-salary budget for Provider services and collaborates with the Medical Executive Committee to manage the Medical Staff checking account. As part of the Clinical Informatics Team, the HPSC works closely with the Provider Provisioning Analyst to credential, onboard, and off-board Medical Staff members. They engage with the CMO, Director of Clinical Informatics, Medical Executive Committee, and other leaders to plan, organize, and coordinate Medical Staff programs and activities, ensuring compliance with regulatory and accreditation standards. Additionally, the HPSC executes tasks related to the PSQO's responsibilities, including the establishment of a Family Medicine Residency program.
Key Responsibilities:
  • Budget and Expense Oversight:
  • Monitor the non-salary budget quarterly and collaborate with leadership for necessary adjustments.
  • Calculate, invoice, and ensure payment according to contractual agreements for medical directors and variable on-call compensation for medical staff.
  • Manage time sheets for select contracted per diem providers.
  • Maintain financial records for Medical Staff dues and expenditures, including preparing monthly and annual financial statements for the Medical Executive Committee.
  • Process reimbursements and expenses for the CMO and PSQO.
  • Privileging and Credentialing:
  • Oversee the recredentialing process for Medical Staff and Advanced Practice Providers (APP), ensuring efficiency and confidentiality.
  • Assist applicants in completing recredentialing application packets.
  • Coordinate with stakeholders to keep all systems updated with changes in demographics, licensing, medical privileges, and contact information.
  • Manage verification requests and conflict of interest inquiries for Medical Staff.
  • Prepare Provider resumes/CVs for publication or other MSO needs.
  • Administer the Late Career Practitioner Examination.
  • Support the Provider Provisioning Analyst as needed.
  • Facilitate onboarding for Residents, Fellows, and Scribes, ensuring a smooth and confidential process.
  • Collaborate with the PSQO to develop and manage the Residency program until a dedicated coordinator is appointed.
  • Handle off-boarding activities, including updating downstream applications.
  • Operational Coordination:
  • Maintain compliance with flu and vaccine requirements in conjunction with clinical resources, reporting to Occupational Health and state authorities.
  • Manage annual provider education and compliance reporting for Medical Staff.
  • Prepare, distribute, and track Focused Professional Practice Evaluation (FPPE) packets.
  • Distribute and monitor Ongoing Professional Practice Evaluation (OPPE) packets.
  • Plan and coordinate Medical Staff and APP events and meetings.
  • Schedule quality reviews with physicians.
  • Maintain email distribution lists for Medical Staff and APP.
  • Order refreshments for the Medical Staff Lounge and ensure all equipment is operational.
  • Collaborate with Clinical Informatics to onboard new provider practices using scheduling software.
  • Assist practices in setting up their on-call schedules.
  • Ensure up-to-date contact information for provider practices.
  • Provide backup support to Clinical Informatics colleagues as needed.
Qualifications:

  • Bachelor's degree in Arts or Science (Required).
  • Preferred degree in Healthcare, Informatics, or experience in provider credentialing and onboarding.
