Overview: The Procurement Specialist is responsible for overseeing and managing the purchasing activities for raw materials, office supplies, and various goods. This role ensures that all acquired products and services meet defined standards and specifications.
Key Responsibilities:
- Generate and distribute purchase orders and modifications.
- Evaluate purchase order claims and contracts to ensure adherence to company policies.
- Engage with suppliers to gather information regarding product services, pricing, and delivery timelines.
- Implement established procurement procedures to achieve optimal solutions regarding cost and efficiency.
- Verify the accurate receipt of all purchased materials and products.
- Maintain detailed procurement records, including purchased items, costs, delivery schedules, product quality, and inventory levels.
- Ensure inventory levels are balanced through effective management of minimum stock levels and order quantities.
- Address issues related to defective or unsatisfactory products and collaborate with suppliers to identify and rectify problems.
- Facilitate the timely delivery of goods.
- Keep comprehensive vendor files, including quality assessments.
- Process requisition forms and purchase orders, forwarding them to suppliers.
- Continuously assess vendor performance to enhance cost savings for the organization.
- Prepare and organize schedules for the efficient processing of orders.
- Create statistical reports that detail weekly activities using company-provided software.
- Contribute to the enhancement of the purchasing system.
- Strong attention to detail.
- Proficiency in MS Word, MS Excel, and other relevant software.
- Effective communication skills in English, both written and verbal.
- Experience with filing systems.
- A background in purchasing is advantageous but not mandatory.
- High School Diploma required.
