Job Summary:

We are seeking a highly organized and detail-oriented Supplier Payee Registration Coordinator to join our team at Brown University. In this role, you will be responsible for setting up new suppliers and individual payees in our financial system, as well as maintaining existing ones. This includes contacting suppliers and individuals to obtain necessary information, handling sensitive data, and ensuring accuracy and compliance with IRS guidelines.

Main Responsibilities:

• Set up new suppliers and individual payees in our financial system
• Maintain existing suppliers and payees, ensuring accuracy and compliance
• Contact suppliers and individuals to obtain necessary information
• Handle sensitive data, including social security numbers and banking information
• Ensure compliance with IRS guidelines and regulations

Supporting Actions:

• Identify supplier registration requests that may require temporary employment and relay to Human Resources
• Validate potential suppliers and payees against the Federal Government's restricted party listing
• Validate 1099 and 1042-S status
• Ensure entities are properly categorized and coded
• Manage supplier and payee files, removing duplicates and participating in cleanup efforts
• Coordinate special setup processes for payees, including student prizes and fellowships
• Educate departments on existing policies and procedures

Requirements:

• Associate degree with 3 years of experience or high school diploma with 4-6 years of experience
• Strong computer skills, including Microsoft Excel and Google Docs
• Strong math skills and attention to detail
• Ability to work independently and prioritize tasks in a fast-paced environment
• Excellent customer relations and communication skills
• Ability to work within a team structure and cross-train within Accounts Payable
