Job Description

Position Overview:

Support the Project Manager and/or Superintendent by efficiently and accurately executing routine tasks in administration, management, materials and equipment procurement, quality assurance, safety protocols, and project completion. Additional responsibilities include overseeing projects by gathering, developing, compiling, and delivering data and information while fostering productive working relationships with team members, subcontractors, and client representatives.

Key Responsibilities:

  • Assist in project estimation, including preparing Invitations to Bid, distributing plans to subcontractors, engaging subcontractors regarding their interest in the project, and providing necessary addenda and value engineering.
  • Support construction office administrative functions.
  • Maintain comprehensive project documentation.
  • Help monitor and control quality and costs.
  • Assist the Project Manager and/or Superintendent in reviewing project proposals to establish timelines, budgets, procedures, staffing, resource allocation, and project schedules.
  • Contribute to the preparation of monthly payment applications.
  • Coordinate meetings with owners, architects, and contractors.
  • Manage the procurement of building permits, including the submission of plans to relevant city building departments.
  • Facilitate the procurement of general contractor licenses as necessary.
  • Assist with project initiation, including the preparation of subcontractor documentation.
  • Review and distribute submittals to the appropriate parties.
  • Create Requests for Information (RFIs).
  • Evaluate change order requests.
  • Oversee material procurement.
  • Track submittals, RFIs, and schedules.
  • Generate weekly meeting agendas and document meeting minutes for distribution.
  • Assist the project team in closing out projects, including managing subcontractor warranties, operation and maintenance manuals, and required documentation, as well as completing punch list items.

Qualifications:

  • Bachelor's degree in Construction Management or equivalent experience.
  • Strong skills in reading and interpreting plans and specifications.
  • Experience in preparing take-offs and estimates.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word).
  • Familiarity with Bluebeam is a plus.
  • Able to thrive in a fast-paced environment.
  • Professional demeanor and ability to represent the company positively.
  • Excellent verbal and written communication skills.
