Position Summary:

The Payroll Operations Coordinator role is based in Crestview, Florida. This position involves hands-on engagement with the payroll system, utilizing timekeeping software and Deltek/Cost Point Labor/Payroll modules. The Payroll Operations Coordinator will support personnel in preparing various labor, leave, and payroll processes on a weekly, bi-weekly, and semi-monthly schedule.

Key Responsibilities:

  • Manage multiple labor, leave, and payroll cycles; including weekly, bi-weekly, and semi-monthly processing.
  • Ensure validation and auditing of timekeeping records for adherence to company policies and FAR compliance.
  • Conduct a variety of record-keeping and payroll processing tasks, including calculating benefit contribution adjustments for new hires and terminations.
  • Calculate Leave/PTO/Sick time accrual adjustments for new hires, terminations, and employees not meeting minimum hours worked.
  • Maintain employee banking information within the Deltek/Cost Point Employee Information Management system.
  • Assist in the payment process, including printing checks, ACH payment advisories, and confirming ACH file success within the banking system.
  • Prepare out-of-cycle checks for terminations and vacation payouts.
  • Collaborate closely with Accounting and Human Resources teams on all payroll-related matters.
  • Serve as the administrator for proprietary timekeeping software, including creating timesheet access for new hires and discontinuing access for terminated employees.
  • Address inquiries and concerns from employees and management.
  • Provide accurate information to support upper management data requests.
  • Assist the Accounting Manager in compiling data for audit requests.
  • Perform additional duties as necessary.

Educational/Training Requirements:

  • At least five (5) years of relevant experience in payroll processing.

Required Skills/Experience:

  • Strong analytical skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent oral and written communication abilities.
  • Experience in data gathering, analysis, corrective actions, and reporting.
  • Familiarity with Deltek/Costpoint Labor Leave & Payroll modules is preferred.
  • Experience processing payroll for SCA and Union (CBA) employees.
  • Detail-oriented in data collection, entry, and reporting.
  • Exceptional organizational, time management, and confidentiality skills.

Work Environment:

  • Primarily office-based setting.

Physical Demands:

  • Position is mostly sedentary, requiring repetitive computer work, including walking, sitting, typing, bending, and lifting as necessary.
