We are seeking a highly organized Bilingual Scheduling Coordinator (Fluent in Spanish & English) to support our operations. This role is essential for ensuring smooth workflow and effective management of schedules, appointments, and meetings.
Key Responsibilities:
- Develop, maintain, and update schedules for personnel, appointments, meetings, and events.
- Collaborate with team members to align schedules with availability and project timelines.
- Address scheduling conflicts and modify appointments as necessary.
- Communicate scheduling information to relevant stakeholders, including reminders and updates.
- Act as the primary contact for scheduling inquiries and challenges.
- Coordinate with clients, vendors, and external partners to arrange meetings and appointments.
- Keep accurate records of schedules and appointments.
- Prepare and distribute schedules, calendars, and related documentation.
- Assist with administrative tasks such as filing, data entry, and correspondence.
- Work closely with other departments to ensure efficient scheduling and coordination.
- Manage and monitor scheduling tools and software.
- Support the planning and execution of events and special projects.
- Prior experience in scheduling, administrative support, or a related field.
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in scheduling software and MS Office Suite.
- Attention to detail and effective problem-solving skills.
