The Client Finance Associate Manager will oversee and coordinate the comprehensive financial oversight for our client portfolio, including reporting, daily operations, and associated month-end closing responsibilities.

Key responsibilities of the role include but are not limited to:

  • Lead the monthly project accounting initiatives, which involves preparing and facilitating the majority of the monthly status meetings with project managers and managing project updates across financial tracking systems.
  • Examine and reconcile new contracts, assess related projects, and ensure the accuracy of project setups by understanding contract components such as milestones and intercompany elements.
  • Address concerns regarding project tracking and funding in relation to project budgets. Present project financials to project leads and stakeholders.
  • Establish new clients in accounting systems, including mapping employees to new billable rates and reviewing Master Service Agreements for rebates and discounts.
  • Analyze intercompany revenue and cost transactions while updating shared financial trackers.
  • Oversee intercompany contract execution and manage cost allocations in relation to the overall project budget, facilitating project scope changes with finance teams and project leads.
  • Ensure compliance with client contracts regarding project revenues, including updates on new contract awards and the collection of out-of-period revenue. As the primary finance contact for business unit projects, identify and escalate potential issues to ensure proper accounting and revenue recognition in accordance with GAAP.
  • Prepare monthly project revenue forecasts and compare them to budgeted figures.
  • Track hours and expenses for client projects against forecasts, ensuring the correct assignment of roles and rates based on project lead information, including mapping new roles and rates and making necessary revenue and cost adjustments.
  • Manage client invoicing according to contracts, ensuring the use of appropriate invoicing templates and correct currency, while reconciling issues and following up on overdue invoices. Oversee unbilled revenue aging and adherence to client invoicing protocols.
  • Review and submit monthly client accruals, consolidating them with other relevant entities as necessary.
  • Evaluate client business development opportunities in Salesforce, ensuring accuracy across internal schedules and financial trackers.
  • Assess project costs against contracted amounts and other direct costs shared across projects and clients.
  • Supervise the setup and tracking of new employees and, when applicable, subcontractor hours, expenses, and billing rates on a monthly basis compared to forecasts and budgets. Manage subcontractor agreements and forecast future subcontractor costs with inputs from project leads.
  • Conduct monthly general ledger account reconciliations for accuracy and completeness, collaborating with the SG&A team as needed.
  • Review expense reports, invoices, and credit card bookings to ensure proper approvals for billable projects.
  • Identify, allocate, and review intercompany transactions.
  • Assist with ad hoc projects as necessary, including annual budget preparation, taking the lead on budgeting for specific P&L line items as applicable.
  • Review and reconcile supporting documents for the annual audit, preparing necessary documentation and schedules. Manage the collaboration required for audit deliverables.
  • Proactively identify opportunities for cost savings and process efficiencies.
  • Collaborate with FP&A as needed, proactively highlighting and providing commentary on key drivers for variance explanations to budget and forecast.
  • Assist in preparing revenue and expense inputs for reporting and analysis.
  • Advise staff on best practices regarding client finances and non-routine financial transactions. Mentor and manage direct reports and junior staff in their career development.
Qualifications:

Minimum Required:
  • Bachelor's degree with a focus in accounting, finance, or business.
  • 4+ years of relevant accounting or finance experience, including 1-2 years in a supervisory capacity.
Other Required:
  • Intermediate to advanced proficiency in Microsoft Excel.
Preferred:
  • Experience in agency or professional services is a plus.
  • Experience with month-end closing processes.
  • Familiarity with revenue recognition principles.
  • Experience in project accounting.
  • Client services or client-facing experience.
