Job Summary

We are seeking a highly organized and detail-oriented Sales Reservations Coordinator to join our team at Omni Hotels & Resorts. As a key member of our reservations team, you will be responsible for ensuring that all group bookings are handled and processed efficiently and correctly.

Key Responsibilities
  • Review group blocks for cutoff date extensions and ensure accurate creation and monitoring of group blocks.
  • Attend weekly group pick-up meetings and run group arrivals lists daily for future arrival dates.
  • Check for duplicate reservations and group reservation errors, and contact callers or group contacts to obtain and verify information.
  • Report to the Reservations Supervisor, Revenue Manager, and Complex Director of Revenue Management on a regular basis.
  • Work with the Convention Service Manager and Group Clients to manage group rooming lists, reservation changes, and group billing.
  • Complete Group Audit Report after group departure and monitor room type availability daily.
  • Monitor non-guaranteed reservations daily and cancel reservations when required.
  • Create and maintain group & transient room blocks, ensuring accurate billing and necessary information.
  • Take in-house reservations calls from customers and OmniRez agents, and assist with on-property assistance or other room reservation-related calls.
  • Monitor Internet and FIT bookings, availability, and billing, and complete commission payment requests accordingly.
  • Assist in completing all VIP and internal reservations, communicating any issues to Reservation Supervisor, Revenue Manager, or OmniRez Helpdesk Supervisor.
  • Research and charge for all no-shows, cancelations, and deposits.
Requirements
  • Knowledge of four-diamond / four-star customer service standards.
  • Previous experience in a Luxury Hotel Customer Service / Reservations (strongly preferred).
  • Experience with Delphi, Opera ORS, and Opera PMS (strongly preferred).
  • Proficient computer skills on Microsoft Office, Excel, and Word.
  • Excellent and professional communication skills.
  • Highly detailed and able to maintain excellent organizational skills in a fast-paced environment.
  • Ability to multi-task while working on up to 20-40 future groups.
