About the Opportunity:

This is an exciting chance for a highly motivated and organized Executive Associate to support and work alongside a Director at a reputable Commercial Real Estate firm in New York City. The primary role involves providing top-notch administrative, operational, and marketing assistance to the Director.

Key Responsibilities:

  • Meeting Coordination: Schedule meetings, maintain calendars, and ensure seamless communication between team members
  • Document Management: Maintain a centralized repository on Google Drive to guarantee essential documents are easily accessible and up-to-date
  • CRM Management: Update and ensure all CRM data is accurate, reliable, and actionable
  • Follow-Up: Utilize tools like Boomerang to track emails and tasks, ensuring timely follow-up and completion

Lines of Business Support:

  • Digital Presentations: Input pricing information, floor plans, photos, and other relevant details for clients
  • Scheduling Meetings: Coordinate meetings for the Director, ensuring efficient use of time
  • Prospecting, Tours, and Client Meetings: Engage with clients, provide office space tours, and facilitate in-person meetings
  • Commercial Leasing Support: Draft bi-weekly owner reports, coordinate data, and offer administrative support to commercial clients
  • Marketing Coordination: Assist with marketing materials as needed
  • Market Research and Analysis: Conduct market research, prepare analysis reports, and create property decks for on- and off-market properties
  • Inbox and Communication Management: Manage email inboxes and communication channels to prioritize correspondence
  • Drafting Documents: Prepare letters, memos, and other documents as required

Requirements:

  • Proven experience in executive support or administrative roles
  • Proficiency with Google Suite (Drive, Sheets) and scheduling tools (Zoom, Boomerang)
  • Strong organizational skills, high attention to detail, and ability to handle confidential information with discretion
  • Excellent written and verbal communication skills
  • Self-motivated with the ability to work independently and as part of a team

Compensation:

The estimated annual salary for this position is $75,000 + discretionary bonus, making it an attractive opportunity for individuals seeking a rewarding career in Commercial Real Estate.
