Job Summary

Metro Physical & Aquatic Therapy is a dynamic and growing organization seeking a highly skilled Front Desk Coordinator to join our team. As a key member of our front office staff, you will be responsible for providing exceptional customer service, managing patient flow, and ensuring seamless communication between patients, clinicians, and administrative staff.

Key Responsibilities:

  • Welcoming patients and visitors with a warm and inviting smile, answering inquiries, and referring calls to the appropriate staff member.
  • Providing top-notch customer service, ensuring patient satisfaction, and optimizing provider time and treatment room utilization.
  • Generating accurate reports, logs, and lists, including authorization and verification documents.
  • Managing co-pays, reconciling payments, and controlling credit extended to patients.
  • Communicating with treating physicians to obtain updated prescriptions and plans of care.
  • Setting up new and returning patient cases in Theraoffice, including demographic and insurance information.
  • Coordinating patient appointments, notifying clinicians of patient arrival, and reviewing service delivery compared to schedule.
  • Maintaining patient records, filing, and retrieving information as needed.
  • Managing business office inventory and equipment, anticipating supply needs, and scheduling repairs.
  • Ensuring compliance with Metro's rules, policies, and HIPAA guidelines.

Requirements:

  • One year of experience in a physical therapy or medical office setting.
  • Experience with an EMR system is a plus.
  • Excellent communication and interpersonal skills, with the ability to work well within a team environment.
  • Current or recent experience in a medical practice, ensuring compliance with federal, state, and local regulations.
  • High school diploma or GED is required.
