Provider Relations Project Coordinator

Overview:
This role is dedicated to overseeing Provider Relations initiatives, facilitating the development, execution, and
monitoring of inventory management processes, tools, and systems essential for the collection,
tracking, and administration of data pertaining to staff performance, compliance reports, and audits. Collaborates
closely with leadership and team members to ensure timely completion of tasks while providing both routine and complex
administrative assistance to the department.
Responsibilities:
Manages and supervises the inventory control process within Provider Relations, which includes assigning inventory
identifiers, tracking, investigating, and reporting on inventory aging through various tracking
systems.
Contributes to the design and enhancement of inventory systems. Suggests tools to
optimize inventory tracking and reporting processes.
Follows up with team members regarding aging inventory and communicates status updates to management.
Utilizes SUGAR + and other necessary Provider Relations systems to support daily operational activities.
Collaborates with the Audit team to develop data collection tools and is accountable
for preparing individual performance metrics based on Provider Relations department standards.
Monitors the timely submission of performance data and engages with staff and
managers to ensure adherence to reporting deadlines.
Collects and reviews departmental operational reports and presents insights to management.
Assists in the monthly tracking and reporting of documentation required for regulatory audits,
ensuring that documentation is well-organized and readily accessible.
Acts as a lead or backup to the Provider Relations Administrative Assistant for tasks utilizing
internal systems such as SharePoint, PowerDSM, SUGAR+, Workfront, and inventory
management systems. Provides training and support to staff in the effective use of these systems.
Records Provider Representative visits in Sugar+.
Engages in departmental process evaluations, recommends enhancements, and
participates in the implementation of new procedures.
Documents and maintains operational procedures.
Facilitates the weekly Provider Re-organization meeting, ensuring follow-up with
Provider Relations staff on all outstanding matters. Monitors timelines to ensure compliance. Develops
PowerPoint presentations, forms, and other materials for internal staff training and/or
onboarding as directed by Provider Relations management.
Provides general administrative support, including organizing confidential correspondence and
contracts, distributing provider communications via fax, email, and mail, and creating and
distributing provider manuals on CD.
Offers additional administrative assistance to the Provider Relations management team as needed
and provides backup coverage for the Provider Relations Administrative Assistant.
Qualifications:
Education and Experience
A Bachelor's degree is preferred in Business, Administration, Health Care
Administration, or a related field, along with a minimum of two (2) years of
administrative experience; or an equivalent combination of education and
experience.
Special Skills, Licenses, and Certifications
Proficient in various software applications for creating
correspondence, forms, reports, graphs, and visual presentations,
including Outlook, Word, Excel, and PowerPoint. Typing speed of 60
wpm and proficient use of a 10-key calculator. Comprehensive knowledge of
generally accepted professional office equipment and practices.
A valid California driver's license and proof of current automobile
insurance compliant with company policy are required for vehicle operation
and travel for business purposes.

Exceptional oral and written communication skills. Strong organizational
abilities with the capacity to prioritize and manage multiple assignments
simultaneously while meeting deadlines. Ability to create and implement
effective tracking and filing systems. Demonstrates sound judgment and
handles sensitive matters with discretion and diplomacy.
Work Environment and Physical Demands
Ability to operate a computer. More than 80% of work time is spent in
front of a computer monitor. Ability to move, carry, or lift objects of
varying sizes, weighing up to 30 lbs.
