Job Summary

The Executive Support Specialist will provide high-level administrative support to the Clinical Operations team. This role requires the ability to work confidentially and independently, managing numerous assignments as a liaison with internal customers, departments, and outside community partners.

Key Responsibilities
  • Manage and prioritize email, calendar, and clinical appointments, working closely with practice managers at various outpatient locations to coordinate patient care and administrative schedules.
  • Work with direct reports of the Senior Vice President (SVP) of Clinical Operations, providing administrative support and coordination as needed.
  • Coordinate and prepare complex travel plans and itineraries for senior staff members.
  • Become familiar with priority appointments and ensure all phone calls are answered or redirected accordingly in a professional manner.
  • Act as a gatekeeper to the SVP, ensuring that sensitive information is handled discreetly and confidentially.
  • Prepare meeting agendas, assist in the development of reports and presentations, and review incoming correspondence.
  • Ensure all communications are professional, friendly, and hospitable, greeting guests warmly and making copies as needed.
Requirements
  • A minimum of an associate's degree or equivalent from a two-year college or technical school, or four years of related experience and/or training, or an equivalent combination of education and experience.
  • Excellent professional skills, including multi-tasking abilities, strong analytical skills, organizational and time management skills.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to communicate effectively with all levels of the organization, including executive staff and the Board of Directors.
  • Proficiency with Microsoft Word, Excel, and PowerPoint, as well as excellent computer and day-to-day technology skills.
  • A willingness to work a flexible schedule and maintain a high level of professionalism and confidentiality at all times.
Estimated Salary Range:

$60,000 - $80,000 per year, based on location and experience.
