Position Overview:

The Getty Research Institute (GRI) is seeking a full-time Senior Library Services Assistant to become an integral part of the Interlibrary Loan team. Under the supervision of the Interlibrary Loan Manager, the primary responsibilities of the Senior Library Services Assistant encompass managing all facets of interlibrary loan transactions, including executing intricate bibliographic searches, monitoring the status of incoming and outgoing requests through systems such as ILLiad, WorldShare ILL, Primo, and Alma, facilitating scans from the Getty Library's extensive collections, preparing shipping documentation, and addressing inquiries related to library resources. Additionally, this role involves providing training on the use of various software and equipment, including scanners, photocopiers, computers, printers, and microfilm readers. The Senior Library Services Assistant will also receive cross-training to support other areas within the Research Services department, including Reference and the Special Collections Reading Room.

Key Responsibilities:
  • Manage interlibrary loan lending and borrowing processes.
  • Conduct intricate bibliographic searches to identify requested materials.
  • Monitor the status of requests using ILLiad, WorldShare ILL, Primo, and Alma.
  • Prepare materials for shipment and receive incoming items.
  • Provide scans from the Getty Library's general and special collections.
  • Staff the Interlibrary Loan desk daily and assist with Reference and Special Collections as required.
  • Respond to general inquiries regarding policies and collections.
  • Offer training on library software and equipment usage.
  • Evaluate and track collection materials for digitization requests.
  • Assess interlibrary loan requests for potential fulfillment through purchasing options.
Qualifications:
  • Bachelor's degree in art history or a related field is preferred.
  • A minimum of three years of experience in interlibrary loan or a similar role that combines research and customer service in a library environment is strongly preferred.
  • Some experience in supervisory and training roles is preferred.
  • Familiarity with ILLiad and/or WorldShare interlibrary loan management systems and the Ex Libris suite (Primo, Alma, Rosetta) is strongly preferred.
Knowledge, Skills, and Abilities:
  • Excellent communication skills, meticulous attention to detail, and strong organizational abilities are essential.
  • Exceptional attention to detail is required.
  • Reading proficiency in at least one foreign language is preferred.
  • Ability to learn and adapt to library-specific software applications.
  • Physical capability to lift boxes and maneuver book trucks weighing up to 40 pounds.
  • Experience with industry-standard software relevant to assigned duties is preferred.
  • Familiarity with bibliographic databases and library-specific software applications is preferred.
  • Ability to handle rare and unique materials with care.
  • Basic understanding of bibliographic metadata structure and principles.
  • Knowledge of intellectual property and copyright considerations is beneficial.
