We are seeking a highly skilled and organized Legal Receptionist to join our team at Hiatt Law Group, PLLC. As a key member of our front desk team, you will be responsible for providing exceptional customer service, managing incoming calls, and ensuring seamless communication flow.

Key Responsibilities:
  • Engaging Communication: Handle a high volume of incoming calls with professionalism and warmth, ensuring every interaction reflects our commitment to respect, courtesy, and professionalism.
  • Efficient Coordination: Direct calls to the appropriate team member or department promptly and accurately, ensuring seamless communication flow.
  • Welcoming Presence: Greet guests and colleagues with enthusiasm and a helpful attitude, providing assistance and guidance when needed.
  • Reliability and Dedication: Demonstrate dedicated commitment to the team, consistently going above and beyond expectations to support clients, colleagues, and operations.
  • Team Collaboration: Foster and participate in a cooperative and supportive team atmosphere from the front desk, contributing to a positive work environment.
  • Facilities Management: Maintain the office by ensuring cleanliness, organization, and adequate supplies across various spaces including reception, conference rooms, break rooms, and restrooms.
  • Proactive Oversight: Identify and communicate any operational issues or requirements to management promptly, contributing to a smooth-running workplace.
  • Inventory Management: Manage office supply orders and maintain a well-stocked supply closet, including breakroom essentials, and ensuring seamless office operations.
  • Logistics Coordination: Manage mail distribution, pickups, and processing, ensuring timely delivery and organization.
  • Event Support: Assist in setting up and maintaining conference rooms, contributing to a professional and organized environment for meetings and events.
Requirements:
  • Effective Verbal Communication: Excellent verbal communication and customer service skills.
  • Front Desk Experience: Minimum of 2 years (preferred) front desk and clerical experience.
  • Personal Injury Law Firm Experience: Previous experience working for a plaintiff's personal injury law firm a plus.
  • Organizational Skills: Excellent organizational skills, outstanding attention to detail, and multi-tasking abilities.
  • Professional Appearance: Professional appearance and behavior.
  • Positive Attitude: A positive attitude toward clients and co-workers is essential.
  • Technical Skills: Strong knowledge of Microsoft Office Suite and ability to quickly learn additional software.
