Position Summary
The Senior Accounting Specialist plays a critical role in managing grants accounting and payroll functions. This includes overseeing the lifecycle of grants from initiation to closure, ensuring compliance with all relevant regulations and reporting requirements. The role requires a proactive approach to facilitate the organization’s grant deliverables and maintain audit readiness at all times.
Key Responsibilities
Grants Management
- Coordinate and track the receipt of award and contract documentation related to grant budgets.
- Monitor and update grant tracking tools to ensure timely completion by relevant departments.
- Prepare monthly dashboards summarizing key performance indicators for senior management.
- Verify employee health benefit coverage related to grant-funded positions.
- Review capital expenditures to ensure proper allocation to grants.
Reporting and Compliance
- Maintain a calendar of grant report deadlines and communicate upcoming requirements to relevant staff.
- Record journal entries and prepare deposits as needed.
- Archive and maintain electronic files of all contracts and grants.
Audit Preparation
- Assist in coordinating and preparing for financial audits related to grants and organizational finances.
- Ensure compliance with federal regulations regarding grants and audits.
Payroll Support
- Process manual checks and respond to payroll inquiries.
- Facilitate the onboarding of new employees in the payroll system.
Qualifications
- Associate degree in a related field or equivalent experience.
- 1-2 years of relevant experience in finance or accounting.
- Strong organizational and analytical skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office and adaptability to new systems.
