Job Summary

This Administrative Assistant role provides critical support to various groups, interacting with all levels of management, employees, and external parties. The ideal candidate will possess a positive attitude, be a team player, and demonstrate adaptability.

Key Responsibilities
  • Provide secretarial and administrative support for multiple managers and their staff.
  • Maintain calendars, coordinate meetings, and schedule conference rooms and equipment.
  • Process invoices, maintain department files and records, distribute mail, and perform other tasks as assigned.
  • Generate correspondence, such as letters and memos, with general direction.
  • Gather, compile, and summarize information for various special projects and conduct special studies as required.
  • Process purchasing card statements, travel cards, miscellaneous invoices, and reports time.
  • Coordinate travel arrangements, order and stock office supplies for several groups.
  • Provide assistance to other administrative assistants within the organization and the executive offices when requested.
  • Initiate, compile, and prepare various weekly/monthly/quarterly reports timely and accurately.
  • Coordinate and organize meetings and other department activities.
  • Document minutes of meetings, capturing action items and individuals responsible for the action items, and forward to attendees.
  • Participate in various special projects assigned by the manager.
  • Oversee building and property maintenance and custodial functions.
  • Custodian of all office and breakroom supplies and equipment.
  • Update and maintain all OSHA Chemical Inventory and Environmental records.
  • Create, track, and update local Capital Projects in PETE.
  • Prepare and submit for approval and track progress for completion Work Authorizations and Task Requests in PETE and Maximo.
  • Network with other administrative assistants and other departments within Oncor for assistance when needed.
  • Maintain the security and controls for receiving, storing, and distribution of material in the local storeroom.
  • Request and distribute all rubber goods and protective gear and maintain records.
  • Remain current on required trainings.
Requirements
  • High School diploma or GED.
  • 3 years secretarial or administrative support experience.
  • Ability to communicate directly, specifically, and constructively both verbally and in writing.
  • Knowledge of company operations, policies, and procedures a plus.
  • Knowledge in Microsoft Word, Excel, PowerPoint, Access, and Outlook.
Pay Range

$22.00 - $24.00

The specific compensation for this position will be determined by a number of factors, including the scope, complexity, and location of the role, as well as the cost of labor in the market, the skills, education, training, credentials, and experience of the candidate, and other conditions of employment.
