POSITION SUMMARY

The Accounts Payable Analyst will report to the Associate Manager of Accounts Payable and will be integral to the daily operations of the accounts payable function within the Finance Department. The ideal candidate should hold a bachelor's degree in a business-related discipline and possess 2-3+ years of relevant experience in office administration.

Key Responsibilities include:

  • Overseeing accounting tasks related to the processing of accounts payable and managing vendor relationships.

Specific duties encompass:

  1. Maintaining and reconciling the accounts payable ledger to verify charges and ensure the accurate and timely processing of AP invoices.
  2. Executing payment runs for checks and electronic funds transfers.
  3. Recording transactions in journals, ledgers, and other financial records.
  4. Investigating and resolving discrepancies related to invoices and un-vouchered receipts.
  5. Communicating with vendors and internal clients to address inquiries.
  6. Generating monthly reports and assisting in the month-end closing process.
  7. Preparing invoices for document retention systems and managing the imaging of documents to maintain vendor records.
  • Utilizing accounts payable data, key performance indicators, and existing processes to identify trends, inefficiencies, and opportunities for improvement, automation, or cost savings.
  • Addressing and researching accounts payable issues, including system-related challenges.
  • Engaging with vendors and internal clients as necessary to resolve billing and payment discrepancies, minimizing invoices on hold.
  • Providing support during quarterly reviews and year-end audits.
  • Analyzing accounts payable transactions to ensure adherence to internal controls and accounting policies, while complying with financial regulations.
  • Enhancing job knowledge through participation in educational opportunities and professional literature.
  • Performing additional related duties as assigned.

EDUCATION AND EXPERIENCE

Minimum Required Qualifications:

  • 2 to 3 years of relevant work experience.
  • Exceptional written and verbal communication skills, along with strong interpersonal abilities.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Familiarity with technology as a communication and efficiency tool is preferred.
  • Highly detail-oriented and organized.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • A motivated, service-oriented individual with a strong desire to succeed.
  • Capability to collaborate effectively with employees at all levels, management, and external agencies to enhance performance and problem-solving.

Additional Preferred Qualifications:

  • Bachelor's degree in accounting, finance, mathematics, or a related field.
  • Experience in the consumer products manufacturing sector, particularly in food and beverage.
  • Demonstrated organizational skills.
  • Ability to guide, coach, and train others.
  • Strong consultative, influential, strategic thinking, and problem-solving skills.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS

This role necessitates sufficient physical ability to operate in a standard office environment; driving a vehicle may be required, along with occasional fieldwork.

FREQUENT: Sitting, neck flexion, fine finger dexterity, moderate finger pressure, extended periods of keyboard and mouse use, walking, standing, bending, and twisting.

OCCASIONAL: Squatting, kneeling, reaching, lifting objects weighing 20-35 lbs., and transporting items up to 50 feet.

VISION: Ability to see within the normal visual range, with or without correction.

HEARING: Ability to hear within the normal audio range, with or without correction.
