Position Overview

The Healthcare Administrative Specialist plays a crucial role in ensuring the smooth operation of the physician's practice by performing a variety of clerical and administrative tasks. This includes managing patient records, maintaining office supplies, and facilitating efficient traffic flow within the practice.

Key Responsibilities

  • Perform various reception and clerical duties to support office operations.
  • Communicate effectively with external services and other medical practices as required.
  • Ensure timely filing of medical records and reports following physician review.
  • Operate office equipment proficiently, including fax machines and copiers.
  • Assist the Office Manager and staff with various projects and requests.
  • Handle incoming calls with adherence to established policies and procedures.
  • Maintain a clean and organized reception area.

Patient Appointment Management

  • Greet and acknowledge all visitors and patients promptly upon arrival.
  • Answer incoming calls efficiently, ensuring a response within three rings.
  • Accurately register and update patient information in the electronic system.
  • Conduct insurance verification and ensure accurate data entry at each patient encounter.
  • Confirm appointments two days in advance and manage daily appointment schedules.

Support for Patient Care Functions

  • Conduct follow-up calls to patients as directed.
  • Prepare medical records for upcoming appointments.
  • Assist in scheduling appointments and tests as instructed by healthcare providers.
  • Review medical records for completeness prior to filing.
  • Preferred qualifications include certification as a Medical Assistant, with capabilities to perform both administrative and clinical duties.

Financial Processing

  • Manage daily patient charge and payment processing, ensuring accuracy.
  • Collect co-pays and outstanding balances at the time of service.
  • Prepare financial reports and balance transactions with precision.

Dependability and Compliance

  • Complete all assigned tasks within designated timeframes.
  • Adhere to continuity of care policies and procedures.
  • Communicate any issues or suggestions for improvement to the Office Manager.
  • Maintain a professional appearance in accordance with dress code policies.
  • Willingness to assist at other locations as needed.

Qualifications

Educational Requirements: High School Diploma with a minimum of two years of clerical or clinical experience. Experience as a Medical Office Assistant with the ability to perform dual roles is preferred.

Licensure/Certification: None required.

Special Skills: Strong customer service, organizational, and communication skills are essential. Familiarity with medical terminology and coding, as well as proficiency in data entry and computer usage, is preferred.

Physical Requirements: Ability to sit for extended periods, perform occasional lifting, and maintain normal vision and hearing.

Work Environment: Regular interaction with patients and a high volume of telephone communications. Frequent use of computers and office equipment is required.

Cognitive Skills: Excellent clerical skills, ability to follow multi-step instructions, and strong prioritization abilities are necessary.
