Job Summary

The Central Scheduling Specialist will play a crucial role in managing incoming calls, coordinating transfers to the appropriate departments, and scheduling patient appointments using EHR and call center software. This position requires excellent customer service skills, strong organizational abilities, and the capacity to work in a fast-paced team environment.

Key Responsibilities
  1. Call Handling and Patient Scheduling
  • Answer and direct all incoming calls professionally and timely.
  • Schedule new and existing patient appointments, triaging appropriately to ensure proper provider and/or resource utilization.
  • Document demographic information, speak to policies, and provide additional information on forms and referrals as needed.
  • Initiate outbound calls to obtain additional information or answer follow-up questions in a timely manner.
Customer Service and Information Management
  • Provide exceptional customer service and demonstrate the ability to work in a fast-paced team environment.
  • Provide patients with general information, directions, and answers to questions within OSA procedural guidelines.
  • Maintain patient confidentiality and demonstrate discretion.
Administrative Support and Data Entry
  • Complete data entry and manage reporting tools for tracking dashboards as needed.
  • Run ZirMed batch eligibility to review and document co-pays when necessary.
  • Assist with front desk coverage (check-in/check-out) as needed.
  • Schedule facility resources and ancillary testing in line with OSA policies and procedures.

Work Environment

This position is based in an office/call center environment with potential interruptions and time sensitivities. Adaptability to a fast-paced, active position is essential.

Required Qualifications
  • High school diploma
  • Minimum of 2 years of medical office experience
  • Basic understanding of medical terminology and billing
  • Strong organizational skills and ability to work effectively in a team
  • Ability to communicate articulately and comprehend written and verbal communications
  • Ability to function efficiently in a stressful working environment and work with people of diverse cultures and lifestyles
