Job Overview:

Solugenix is collaborating with a prominent financial services organization in search of an Office Operations Associate. This role is a 2-month contract position based in Hillsboro, OR (Onsite).

Essential Skills:

General Office Administration, Telephone Management, Client Interaction

Qualifications:

  • 1-2 years of relevant experience.
  • High School diploma or equivalent.
  • Proficiency in Microsoft Office Suite.
  • Ability to comprehend and interpret documents such as safety guidelines, operational instructions, and procedural manuals.
  • Capable of drafting routine reports and correspondence. Effective communication skills for group settings.
  • Competent in performing calculations related to discounts, interest, commissions, and basic algebra.
  • Adept at resolving practical issues and navigating various situations with limited standardization.
  • Skilled in problem identification and resolution, gathering and analyzing information effectively.
  • Ability to manage challenging customer interactions and respond promptly to inquiries.
  • Clear and persuasive communication skills, both verbally and in writing.
  • Team-oriented, demonstrating objectivity and openness to feedback.
  • Respects and values the contributions of team members.
  • Handles pressure well and treats others with respect.

Key Responsibilities:

  • Welcome and guide visitors within the office environment. Manage a multi-line phone system to handle incoming calls and direct them appropriately.
  • Retrieve and relay messages from voicemail to the relevant personnel.
  • Address incoming calls, ascertain the purpose, and forward them to the correct department or personnel.
  • Provide information about the organization, including directions and other relevant details to callers and visitors.
  • Monitor visitor access and issue passes as necessary. Maintain appointment schedules and assist with travel arrangements.
  • Sort and distribute mail, maintain publications, and assist with fax operations.
  • Order and manage office supplies efficiently.
  • Perform additional clerical tasks as required, including filing and photocopying.
  • Regularly engage in tasks that require sitting, talking, and listening, with occasional physical activity.

Compensation:

The pay range for this position is $20/hour. The starting pay may vary based on factors such as position, location, education, training, and experience.
